So I've just got my group of IT children to login for the first time to Google Email and have found that they have been receiving staff emails that where sent to an alias [email protected].

 

Luckily it's only my digital leaders that have access to gmail at the moment and I have made them all delete the emails.

 

The other students accounts are on google ready though so their accounts have all received staff@ emails too. Is there anyway I can delete emails from a group of users so that when they login they don't have any emails on Google Apps?

 

Any help would be most appreciated. I have fixed the issue and found that the staff@ group had All Members of the organisation on it, this has been changed so no future emails go to the children.

If they're logging on for the first time, or haven't even logged in yet, it might be easier to just delete the accounts and set them up again.

I was thinking that but I spoke to Google and they advised against it. If you're deleting mass accounts it seems to take X amount of time dependent on the amount of emails and the accounts themselves and when you set them back up again they are known to just restore everything using Google's migration tool.

 

Just in case anyone messes up again like me apparently you can use Google vault, go into retention and create a new rule, from here you can select the date of the emails you want deleting and even down to the subject, tick the second button where it says retain for a certain number of days and set that to 1 and create the rule.

This will delete all emails from the accounts within 24 hours.

 

Phew, fingers crossed. I'll test on Thursday.

You can clean up from the Google Apps Vault can you not? Run the search for the emails and on the student group and delete them.

 

This is based on my one time use of the Vault however, so perhaps have a play ;)
