Printer lease - comparative costs?

Hi there,

 

We currently have a single office printer (Lexmark 560n) which is now five years old and perhaps time for it to be replaced. It was purchased outright at the time and we currently pay a cost per print which includes toner, maintenance, parts, service, labour, etc.

 

We have been quoted for a newer Lexmark (XS748DE) with the option of putting it on a 5-year lease, costs as follows:

 

Quarterly Lease cost: £105

Mono cost per copy: 0.55p

Colour cost per copy: 5.5p

 

(based on current copy volumes of 7k per quarter BW/2k per quarter colour)

 

I wondered how this compares with what other people have in place?

 

Has anyone else done something similar, or have any advice/suggestions of more cost effective solution?

 

Just as a bit of additional info, we also have 4 old HP Business Inkjet printers currently used in classroom areas for pupils to print to. I have been reading a bit about managed print solutions - but wondered whether it would be worth it for such a small number of devices? Any thoughts would be appreciated!

That's expensive, your costs per copy should be a lot less than that and I've a feeling that will be on a contact with minimum copy count charges. Look at some of the government framework agreements for these as they have much friendlier contracts. We go direct to Ricoh for ours, been very good.

Of interest should be government procurement service Contract Ref RM1599 deals with managed print services and MFD's. There is a limited range of suppliers but it can avoid a full tendering process and prices are competitive.

 

ETA - just checking the LOT1 pricing :

 

Mono 0.199p

Colour : 1.99p

 

Rental would be just under £80 qtr.

I don't know the costs of our leases, but ours are direct from Konica Minolta and we have 2 large copiers for a 2 form intake primary. Service seems to be good, if we need a toner it comes next day (although we keep stock!)

Has anyone used the RM1599 framework for their managed devices?

Looking at the quotes I have received from other suppliers no one can beat the prices offered for the Xerox devices on this framework. Its worth mentioning also that the devices on this framework are also higher spec'd than comparative quotes I have received. I can get a 45ppm Xerox for less than a 30ppm Kyocera with another supplier!

 

What I would like to do is then integrate these devices into PaperCut MF using Mifare cards - this is where the framework/scheme falls down a little bit. There appears to be no mention of this on the site or links to affiliated resellers who could help in this.

 

I would be very interested to hear from anyone who has procured their devices through this framework and hear what they think about them.

With Papercut, I'd simply recommend contacting a UK Papercut seller yourself. That's what we did. We use ITS - Info Technology Supply Ltd, Onelog, MyPC, R&R, PaperCut UK, Mirtrak, Faronics Deep Freeze now for it.

 

We run Ricoh machines here, and installing the client wasn't very hard - but you'd want to check.

 

The Mifare part - does the Xerox machine accept USB mifare (with keyboard emulation) readers? With the Ricoh machines, its a case of just plugging such a device in and putting the Mifare numbers in the ID number field.

 

I don't think those things will appear under the framework, unless you talk to a company that specifically offers those services.

We used RM1599 but we used Lot 2 to procure 3 high volume machines along with 18 lower spec MFD's and an implementation of the paper cut system which integrates with our swipe cards. I found it difficult to get the suppliers listed in lot 2 to actually respond! PM me if you would like contact details for the one that did.

That is expensive and on a 5Y. As others have said look at RMRM1599 or CPC frameworks. Under our new agreement printers are under £10 per quarter

Localzuk do you mind me asking which devices you went for and the quantity? It would be interesting to see how the price per print varies from the RM1599 framework costs that are openly available from their website. The CPC site doesn't offer this information, it would appear you have to request pricing from suppliers on an individual basis.

We have an Aficio MP C5502A and an Aficio MP 9002.

 

Yeah, you have to request pricing specifically under the scheme from the suppliers listed. We pay 0.35p per mono and 2.99p per colour. Those were the best prices we could get on those machines at the time. Pricing varies by model etc...

Support for readers is down to the firmware on the device so it depends on the Xerox model and the firmware they are running.

It looks like the Xerox WorkCenter MFD devices under the RM1599 are compatible with PaperCut MF embedded. Only thing might be the USB card readers are affixed to the device externally as apposed to behind a housing like on the Kyocera - but i can live with that given the cost savings!

The Lexmark XS748 comes with a full three year parts manufacturer’s warranty including 12mths labour, so why sign up to a service cost per copy. Consumables can be purchased when required and the devise also comes loaded with 10k colour &12K black toner.

 

Schools should be signing up to an operating lease over three years which means you pay less than the capital value of the equipment.
