iSteve Posted May 8, 2013 Posted May 8, 2013 Hi, I was wondering what people are using to provide document collaboration services (aside from SharePoint). We had briefly looked in to Kerio Workspace before it was renamed SamePage and went cloud only (!). Basically, we are looking for a product which will allow users to check out documents to work on, log who modified them and when, who owns them, and assign comments and users to various documents. This would be at staff only level. It seems that Workspace did what we wanted, and alternative products like SenseNET or Alfresco go way over the top of what we want. Any suggestions?
unixman_again Posted May 8, 2013 Posted May 8, 2013 We use three methods, with the choice of method down to the whim of the staff. Some use the beast that is SharePoint; we have very few who do this as they find SP too complicated. Some use Moodle, which is fine within a department and the staff can control it themselves. Most use the anarchy of the J drive. Yep a shared drive where all and sundry can edit documents. Control is based on the honour system; it's my folder and others can keep out. It works surprisingly well. (I'm amazed by this.)
iSteve Posted May 8, 2013 Author Posted May 8, 2013 We currently have a shared drive which is a nightmare. It contains 900GB of trash. No one understands how to find files, or where to save, or what to delete when people leave.

Hello, I am too looking into a document management system; it's been recommended to the school to use Sharepoint, but given the complexity, cost and maintenance hour it would need, I am reluctant to accept it. Please can you send me a case study where Alfresco is being used in a school and also an idea of costing. Thanks

Thanks When you are looking at the document in Google Docs you can see the revisions history, the revisions are colour coded so you can see who did what.
cpjitservices Posted November 6, 2013 Posted November 6, 2013 Errrmmmm regarding a case study... If you look on the website it clearly states that places like the NHS use Alfresco. There's a Uni in that list too. Alfresco is easy, and you can run that on site too. Let me know if you need to know anything in future about Alfresco.
