Hi,

 

Our Deputy Head would like a new report generated for every student in year 11.

 

We currently collected Estimated Grades for each subject three times a year whilst students are in KS4. He wants to take the last 5 results and plot this on a graph for each subject.

 

This feature is coming soon in our VLE however he would like this before then. An example screenshot is attached. http://www.abbey.kent.sch.uk/assessment.gif

 

What is the best way (apart from waiting for our VLE to do it in September!) to do this now? We are running SIMS - can this do what I want?

This is where result sets become a heaven send! Are you using them?

 

Presuming that you are using result sets, set yourself up a marksheet with all the subject's estimated grades on it (not essential but will make your life easier). Export this marksheet (unformatted) in to Excel after each grade sweep.

 

What you should then have is an Excel spreadsheet with all KS4 students estimated grades in it, identifiable by the result sets used, the aspect name (which should remain constant for each subject, this is why I advise using level based titles; such as "GCSE English Estimated Grade"; rather than year based titles like "Year 10 English Estimated Grade", it makes tracking much simpler in my opinion). It's then just a case of using Excel's graph wizard to plot a chart based on these.

 

All a bit vague I know, but just let me know if you want me to clarify anything

Thank you for your quick reply. Yes we have all of this in place using result sets. What I'm after is a system that will generate the graphs for me automatically. Generating one graph per student (160+) will take me a while :0)

You could try playing with Individual Reports in SIMS and adding graphs in to those, but if I remember right, that will only work with numerical results, no good in this case I don't think.

 

Your other alternative is to do what I said earlier, but copy the spreadsheets in to Access, then set up a report to automatically generate the graph for each student. Again, sorry to be vague, just throwing around ideas...

I've tried this before, but SIMS Individual reports, as far as i can make out, doesn't seem to change the grades (A*-F) into the values you set in a result set. I've just tried to create the graph in your example, but it gave me three different values for an A grade (0.18, 9.8 and 10.5) rendering the graph useless.

 

It could be that I'm missing something obviousl (no training on the individual report side of things) so I'd also be interested if anyone has any ideas...

The only way I could think of doing it would be to export a marksheet which has all the students as rows, and the grades you want to graph as columns. Then Find and Replace the Grades with appropriate numbers (A* - 10, A - 9, B - 8 etc) and then record a macro of creating a graph for each student onto a new sheet.

 

That might work...
