plumyeti Posted 1 hour ago Posted 1 hour ago How are we deploying signatures to Outlook now? Our marketing Team has designed a beautiful new signature in HTML. It is now my job to ensure it works and apply it to everyone. Wht is the best way of doing this?
TechMonkey Posted 1 hour ago Posted 1 hour ago If it is a static sig, then a mail flow rule will add it on, just ensure you have an exception if it finds the sig already there. Otherwise it is publish it to all staff with instructions on how to add it themselves. 1
JazzFlute Posted 1 hour ago Posted 1 hour ago Yep, I sent mine in an email along with a short video showing how to add it to OWA and any Outlook apps. That way, staff can add their own name, job title, and other details to the signature themselves.

I ended up "helping" with about half of the staff here, but at least it was done properly! 😂 You also get into the whole issue of staff using Outlook on other devices or personal phones, which adds another layer of complexity. A five-minute job can quickly turn into a bit of a nightmare. I think with the new Outlook, you can use the OWA signature as it's available in the drop-down list of signatures to choose from. However, users still need to select it themselves, as it doesn't apply automatically.
aydee Posted 28 minutes ago Posted 28 minutes ago We use Google admin to enforce a logo and disclaimer text, but we let the staff make their own to go above it, which they control from within gmail. In my old job theough, we used a software called Exclaimer; which can link to different cloud mail systems and pull from AD, or someother data source to make them synced between users and devices.
