Hi,

We have an all staff email group (you guessed it, used to send comms to all staff).

We've had reports of certain staff not receiving mail, even though they're a member of said group.

I have done a message trace from the sender (who emails the group) to the recipient logging the ticket and no traces of mail, but they have emailed them separately prior and after and this works.

I think it might be a bigger issues than a few users because if I message trace the All Staff email, there are 230 users in said group, but only 190 results on the message trace.

I have logged it with Microsoft, first line response was to remove them from the groups and re-add them, which made no effort.

Unsure on how to begin to trace this as no record of any mail traffic whatsoever.

Help welcomed!!

Does anyone successfully send to the whole 230?  Or does every sender emailing groupname@schoolname get 190?

Are there any "Bob can't email Geoff via allstaff@" rules in place to avoid the finance dept (for example) rampaging due to constant "Fred's lost his trainers" all-staff emails?

So a random Geography teacher emailing allstaff@ never gets delivered to finance/IT/estates/wherever but an email to allstaff@ from a member of SLT, finance or the admin team will get delivered?

Try a message trace but don't put the recipient in. Use other methods to narrow it down, you might see what happens to it. Specifying the recipient in the trace might be presuming its actually reaches the mailbox.

Seems unlikely but maybe 190 have set the "Follow in inbox" option and the rest haven't , then you can change the "Send copies of conversations to group members' inboxes" admin setting for the Group  https://learn.microsoft.com/en-us/microsoft-365/admin/create-groups/manage-groups?view=o365-worldwide#send-copies-of-conversations-to-group-members-inboxes

Been there done that.  I've tripped myself up with that in the past. There was a script that was supposed to be used to add and remove members from various groups, setting them as subscribed... but occasionally a user would be added via the GUI, and because that flag wasn't set, they'd never get copies of the emails.

We have it restricted so only senders on a list can email allstaff@ - no other rules.

It was this - tickbox wasn't ticked.

Can only assume the flag was enabled because this was a feature for the historic users, and any new users didn't have it.

Thanks all!
