Hi everyone,

 

Our head has asked if we could get ChetGPT Plus to allow them to work with images for presentations, etc. 

 

She wants to share the one login between staff. 
 

Does this work? Any one recommend?

Sharing a ChatGPT Plus login isn’t allowed under OpenAI’s terms. Not that schools often give a hoot (cough Twinkl accounts, cough).

If multiple people need to use it, you’ll need either individual ChatGPT Plus accounts or, preferably, a proper Team plan with better access control.
 

I know you’ll already be well aware of the potential issues around AI models, so no preaching here! 😆 Personally, knowing what my staff are like… alarm bells start ringing. (especially some in SLT!)

Things like:

Staff pasting in sensitive pupil data “just this once”

Never clearing chat logs that include data or signs of misuse, then other staff accessing it through the same shared login.
 

I’ve moved away from education in the past 10 months, and it’d be interesting to see how schools are starting to adopt AI models. I imagine it’ll vary wildly from one place to another.
 

Have your staff had proper training on responsible AI use?
Does your school or trust have an AI policy or updated acceptable use policy covering this?
 

I suppose they’ll end up using it regardless of what the IT goblins suggest is best practice when we’re not looking. 🫣

We do have an AI policy now as staff were just using it without thinking or any boundaries so we've set the record straight and provided training of what can happen if not used properly.

 

I think looking at the team plan may be the better option so that it can then be managed properly.

 

I also wondered about if one user uses it a lot they will use a lot of tokens which may then make the next person who uses it not able to do as much.

Can you opt in to use their Europe based Azure servers for storing information now? We introduced an AI policy a while ago, ChatGPT wouldn't pass the DPIA at the time due to data storing regions. We went with TeachmateAI which is wayyyy more education based. Trialed it with about 30 staff members and they really liked it.

We too have an AI policy but I'm not aware of any specific training going on in our Academies reminding people not to use identifiable data like peoples names etc. they're just being left to get on with it and it's my guess that only when it goes wrong will the policy be dusted off during a disciplinary!

Looks pretty good and geared towards education. Better prices for multi user too.

Yeah, we looked into quite a few - but TeachmateAI seemed to be the best (for educational tasks.... which in a school is what it should be used for anyway). I manage the licenses from our portal, and I also have a analytics page to view which particular tools are trending amongst the staff. The big tick for us though, was that their servers are UK hosted.

have to agree with this. Don't try to work around the licencing. Especially as, with the team plan, you get a lot more resource to play around with. 

Teachmate AI is a nice implementation and is going to be more streamed towards what you ought to be using it for.

I'm sure she does. I'm guessing it's the same "Why isn't it free for schools, it's for children" argument you hear from teachers on £70k plus, also not volunteering their time for free? 🤣

I've just signed up for a free TeachmateAI account and will evaluate the free tools over the next week, any advice/opinion welcome on it.

The Head decided she didnt want TeachMate so has gone for just one ChatGPT account that she will test out over the next few months.

Not ideal as it is isn't specificly education orientated but will have to see how things pan out.

Yeah no MFA support currently. As for the lack of tools outside the curriculum, I understand what you mean, but this specific AI tool is designed for educators. I would argue that AI should only be used for these purposes within education; otherwise, what other tasks are you using it for during school time, on a school-issued device, with a school-issued email address?

If you are an MS School then get a few licenses for Copilot? Even free version keeps corporate data secured. Paid up version adds all the integration into the office apps and your data, it's actually pretty useful.
