We have some new Konica devices that are on the latest firmware and the company we use for these devices are stuck too when trying to get the Notifications to send via email to a group of emails - when we query this with them they don't understand what we mean. These notifications include things like low toner, paper jams, out of staples and even when a job has complete.

We as a school have tried everything but it appears that these notifications will not send. We had no issues with the toshibas which we had before these, we are even using the exact same sender email address and password details.

Was hoping someone could share their settings off a Konica because really it shouldn't be difficult to get notifications to work.

We had to change firewall settings. Can't remember what it was I'm afraid. I would hassle their support and make the point hundreds of schools are using the remote service successfully so get them to look at the settings!

Have you given them different IP addresses to the old copiers? Most LEAS would have per IP SMTP relay so your new copiers with new IPs will not be able to send without the LEA adding the new IPs to their system?

Copier IPs same from Kyocera to Konica?

Mail relay allowed (both at firewall level and at O365 routing level) from said IPs?

The IPs are exactly the same literally out with the old in with the new.

We didn't have any rules for the toshibas so wouldnt have expected it for thr Konicas.

Might have to take a look at the firewall rules but i'm sure i had a test rule set so anything in and out from a copier would be allowed.

Thing is, the scan to email works just fine.

We don't touch any of the LEA stuff and all the routing in Google was done by us.. but this has given me an idea, maybe i need to look at routing in google for specific IPs however the the logs in Gmail im not seeing any activity what so ever ont he service email account that the notifications would use.

Does wireshark show anything different between a scan-to-email and a notification email (cause a paper jam)?

Have you asked one of their copier techs to review the config when they're onsite?

Wireshark it might have to be to be honest, at least to see what is going on.

As for the tech support from the company who are providing the copiers, i'm sick of waiting for them to come back to me, i'm starting to lose faith in them to be honest and we have only been with them for 6 months. They looked at me like as if I had landed when i said about the notifications. I explained that we would like to know when a copier is out of toner so we can be responsive, to which they said, well we get told that. I said, no you get told when the device has 25% toner left! (head against a brick wall!)

With Konica is normally the self-sign SSL certificate expiring or a non compliant default self sign certificate

I've run a wireshark against one of the devices whilst having "job complete" set as a notification and to be honest, i'm not sure what i'm looking for.

I've tried using a @gmail.com email address and this doesn't work because they have turned off the Less Secure Apps feature so the copier doesn't even make an authentication attempt.

I've tried using a @hotmail.co.uk email address and whilst the authentication works nothing is actually sent from the configured email address.

I've tried using our mfd scan to email service mailbox and whilst the scan to email works fine, the notifications do not work.

In regards to the Self Signed SSL or the non compliant default self sign cert, if this was an issue, would this not affect the scan to email?

It's been a while since I've had to use KM native device functions (we put PaperCut MF on copiers), but I seem to recall that Scan-to-Email and email notifications were two separate functions and transport mechanisms. Scan to email was annoying but generally worked. For copier status we used SNMP from our network monitoring and alerted through that.

If you not managed to work it out already. I have this setup on one of my schools. I admit when setting it up Konica back gui is not intuitive by any means and took me a while. I will put together a little crib sheet for you when I can this week.

What’s devices do you have out of curiosity.

Km support line is generally just poor. I limit all correspondence to their e commerce website.

There is no point talking to them I get more sense out of my 2 year old.

Generally the engineer support is ok. Most issues get resolved in a single visit. I’ve had a few spats with them over wearing parts which must be pain to install but all in all I’ve had worse experiences from other providers

As i say, the scan to email function works as expected, however the notifications do not work which i find very strange.
