sending username and password via post

Im really stumped as to how to go about this. We have recently set up a password protected section to our website for parents. We have generated a username and password for each family, which we have in spreadsheet, csv etc.

 

The management software we use is Phoenix Gold. I cant think of a method of sending out a standard letter to each family, but including just their username and password.

Do you have the family contact details on your spreadsheet already? Or do you want to match contact details with the logons and passwords ?

 

If you have all the details you need in the spreadsheet then I would carry out a mail merge with word using your spreadsheet as your data source. If you do not have these details then export from Phoenix as a CSV file. Then import your CSV and spreedsheet into access and join them (you'll have a better idea how to join them as you know what data you will be using). Then use the new joined up table as a data source for a mail merge.

Ok I think the order of the usernames ties in to the family names so Ill try and get it all in a spreadsheet.

 

The address comes out of phoenix as 1 field though, so Im not sure how that will look in a mail merge.

 

Will give it a try though.

Ok got it sorted. Had to manually tweak the addresses but its a lot quicker than anything else

It's also worth noting that really you should send out two letters, one with a username and one with a password, on different days.

 

Then if a kid loses one/its gets lost in the post/someone steals it its less likely that an unsavoury charactor will have access to your parents site. (obviously dependant on what kind of info you'll have there)

Good suggestion, which I would do actually if it was important stuff, but its just really subject material and homework etc that is behind the login bit.

If we ever need to send passwords out we send them in two letters and in the password one we put it an envelope then laminate it to seal it. Not fully tamper proof but does the job.

Sounds slightly overkill and expensive in both time and money. We are rolling out our parents gateway September / October time and we will just be sending out the information in one letter.

 

But, thats our school decision but each to their own.

Not really we do it rarely, it costs 3p per laminating pouch. We don’t send things on bulk like this.

To open the laminated pouch the person receiving the letter would have to use scissors. Does this not mean that they'll cut through the envelope and potentially the letter inside the envelope? Also how do Royal Mail put their markings on the stamp like they sometimes do, is the stamp stuck to the pouch on the outside?
