To create a shared School calendar in Google Workspace, does someone (a user) have to 'own' it?

 

 

We have tried various options for shared calendars (even SIMS and our 3rd party O365 tenancy) but a while ago the Head decided that he, being a Chrome user and Google fan, would set up (presumably on his own GMail account) a shared School calendar...

 

To make matters worse he used our teachers email addresses' (from the 3rd party O365 tenancy) created Google accounts for them and manages it himself. To be fair it seems to work OK for them and they get notifications to their email, but it is confusing as they also need their school Google Workspace logged in for Classroom and such and browsers don't like having tabs with different Google log-ins.

 

I've never really understood why he didn't ask me about any of this, but that's about par for the course... he used email addresses from the 3rd party O365 tenancy as that is our main teachers email system.

 

Anyway, now when people have problems for some reason he is sending them to me, as he did today when a few teachers couldn't access the calendar and I have told them to go back to him.

 

It's all a little messy for me and I am trying to get him to move everything over to our school Google Workspace, but not having much luck as it has to be accessible from their O365 email addresses or at least to notify them of events and invites there and I am a little unwilling to convince him to go full Google Workspace using GMail as we are on the 'free' version and I can see support for that dwindling and eventually the product being pulled.

 

So, I am trying to work on a rule for GMail that will essentially forward all the mail produced by a new official school 'Google Workspace' calendar to their O365 addresses.

 

The teachers can then log into 1 Google account and have the classroom and calendar, but still get invites and notifications come through to their O365 email.

I think there are a couple of options:

  1. Have mail for your Google domain name routed to O365 instead (MX settings), with O365 configured to accept mail for that domain (if different from your main O365 domain name). Then have the Gmail app disabled for your Google users. I suspect some kinds of notifications, particularly ones like generated by other Google apps like Classroom, might not appear in O365 in this scenario.
  2. Have mail for your Google domain name routed to Gmail as normal, but put in place some routing rules in the Gmail Admin console to route all mail on to O365 instead of delivering into Gmail mailboxes, with O365 configured to accept them for your O365 users.

Yes, calendars are owned by a user. I have a generic user in place for each school for their shared calendar.

 

This is what we do. Separate account for specific calendars.
