Guest Guest Posted July 5, 2021 Posted July 5, 2021 We're currently having issues with our staff being sent encrypted Word documents by Birmingham City Council which we are unable to access. When we open the email a code is sent which is used to access the email, however, the document cannot be opened using the online version of Office and has to be downloaded. When trying to open the document we're prompted to login with an Office 365 account (as per their documentation) which we do, however, we then get the below error. I've attempted to speak with their helpdesk (as it's clearly a BCC issue) and they're unable to help as I don't have a BCC network ID which apparently they require to log a ticket. I was told I should get in contact with our contact at BCC who can log it on our behalf, however, according to our business manager (who has been at the school for over 20 years) we've never had an IT contact at the council. Is anyone else experiencing this issue?
Boredguy Posted July 5, 2021 Posted July 5, 2021 Normally when we get similar style messages in Office 365 it is because the document has either been sent to a shared mailbox, and the user that is opening it from that mailbox in their normal logon session doesn't have access (since it wasn't sent to them), or the document has been sent on by someone who isn't the owner of the file in the first place. So I'd check what address the message was sent to. If it was to an account that is in a Shared Mailbox and you use Office 365, use the "Open Another Mailbox" option in the Outlook Web App for that account and try accessing the document within that window to see if it behaves.
Guest Guest Posted July 5, 2021 Posted July 5, 2021 That particular screenshot was taken using a document which was sent directly to my mailbox and from the original author of the document
Michael Posted July 6, 2021 Posted July 6, 2021 The answer's in the error message - it'll be a security configuration issue on BCC's tenant. BCC needs to add the recipients email address(es) belonging to the school as external users, then it'll work.

Jcx500 Posted July 6, 2021 Posted July 6, 2021 That's what I thought I had a similar issue with Solihull council they had to add us as external users or guests i believe
Boredguy Posted July 6, 2021 Posted July 6, 2021 If it was sent directly, then like the others said, BCC need to adjust their security settings for external users
