Hi

 

Is there anyone out there who could point me in the right direction regarding setting up a mail merge report to create address labels please?

You'll need to provide a bit more detail for a full answer (what software you're using, what your data source is, what you're printing on to). Once you've got your report, most word processors have a wizard that takes you through the steps.

 

Hopefully the following will point you in the right direction:

 

First create your report; most MIS will have a "generate report" function.

Pick the fields you need and select csv as the output format and save it to a location that's accessible from the application you're using to produce the labels.

Make sure that the columns have headers that make sense to you.

Open the word processing application and find a document template that matches you labels. (Most labels will have a code on the box. If yours don't, search for Avery and pick one that has the right number of labels per row and column.)

Start the mail merge process. You'll be asked for a source. Select "use existing file" and pick the file you've just created.

In the document insert fields that match the column headings you used.

Preview the output and then print.

As a quick alternative that you may want to try if you haven't already is the Parent/Guardian Label Report, found under Reports > Administration > Parent/Guardian Labels.

For creating a web merge report specifically for address labels we would recommend using People - Students reporting domain and the following data items, in addition to any others you may want to use:

- Students > Personal Information > Addresses > Full Address (label layout)

OR

- Students > Contact Details > Personal Information > Addresses > Full Address (label layout)

Depending on whether you want the student's or parent's address.
