Hi A colleague of mine is trying to delete some students who are currently on roll, from pre-admission groups in which they were erroneously input. She logged a ticket with the Bromcom helpdesk and received the following response: Thanks for contacting Bromcom support. It looks like these students are still sitting within modules>admin>finalise admissions. You will need to go through ALL of your admission groups and change the Action to 'Withdraw confirmation'>find the students>click on Update and then change the Action back to Confirm All and press Admit NOT Update. Check the admission date entered is correct also. https://docs.bromcom.com/knowledge-base/how-to-finalise-admissions/ This should then show them in on roll list only. We have both tried to follow these instructions, but I have not been able to proceed further, as per the attached. I am wary of proceeding further for fear of making irreversible errors. Would it be possible for someone to provide precise instructions as to how to do this? Just to reiterate – we only want to remove them from pre-admission groups, and not their current student record. Many thanks in anticipation. To remove students from pre-admission groups.pdf

Hi I am interested in the possibility of importing data directly into a Google Data sheet. The current training sheet https://docs.bromcom.com/knowledge-base/how-to-import-data-directly-into-a-google-sheet/ incorporates an excerpt from a Google Data sheet, which indicates that it is possible to access Script Editor via the Tools dropodown. However, this option is not available in my version of Google Sheets, as illustrated by the attached screenprint. Is there another route by which I can access Script Editor? Many thanks in anticipation of your assistance. Script Editor not appearing in Tools dropdown in Google Sheets.pdf

Hi We are trying to ascertain the most effective and efficient means of requesting information from parents/guardians of parents of prospective new students, and ensuring it is transferred onto Bromcom. At the moment, we ask them to complete a pupil admission form (PAF), the information from which has then to be input manually into Bromcom, which as you might imagine, is an incredibly time-consuming task. We are looking to automate the process as much as we possibly can. I have looked at the possibility of manual data export/import, but many of the required fields in our PAF do not correspond with the data fields in Bromcom. I understand it is possible to configure MCAS to enable parents/guardians of prospective new students to complete the relevant admission form online. Could someone point me in the right direction as to what needs to be done to set this up? Is there scope to perform trial runs using our bespoke admission form? For those who have gone down the MCAS route in trying to automate the admissions process – have you had any feedback from parents as to how user-friendly the process is? Many thanks in anticipation.

Hi I would like my weekly scheduled behaviour/attendance reports on Bromcom to return data for the most recent academic week only. For example, for the current week, I need this Friday’s report to return data from Mon 25th to Fri 29th only; for the following Friday’s report, I need it to return data from Mon 2nd Dec to Fri 6th Dec; and so on for each week. It is not clear (to me at any rate) which option I should select when it comes to selecting the start/end dates; am I right in thinking it should be ‘Relative to the Academic Week’? Many thanks in anticipation of your help. Query re scheduling reports date options.pdf

[bromcom] Problems with headers/footers in Mail Merge process
CarterUSM replied to CarterUSM's topic in MIS Systems
Hi Just to let you know I’ve resolved the issue. It was quite simple in the end, a process of trial and error. I removed the pedagogy wheel image, tabbed the positive/negative points image to where I wanted it to be at the bottom of page 1; and pasted the pedagogy wheel image back onto page 2. The merge works as intended now. Many thanks for your contributions with this issue. -

[bromcom] Problems with headers/footers in Mail Merge process
CarterUSM posted a topic in MIS Systems
Hi I am having problems in ensuring that a Word mail merge document is formatted in the way that I intend it to. I have never encountered these problems before in any Bromcom mail merge process. SLT want our student reports to go out as a double-sided document, with a so-called ‘pedagogy wheel’ illustration on the reverse page. The report incorporates a header which should only appear on the first page. In addition, fields containing both positive and negative behaviour points should appear at the bottom of the page. (The file should appear as the attached example ‘Example report KS3’.) The Word mail merge document I originally created (‘Y7 Autumn Term Review’, attached) originally had the header setting ‘Different First Page’. However, when I ran the merge, the header only appeared on the first page of the whole mail merge document (i.e. not on the first page of the individual student reports, other than the first student in the cohort). The fields containing positive and negative behaviour points did actually appear at the bottom of the page as required. The strange thing is that when I change the header settings from ‘Different First Page’ to ‘Different Odd & Even Pages’, the heading does not appear on any pages in the merge document. To try and overcome this, I cloned a new Word template (‘Y7 Autumn Term Review 2’, also attached), with the header setting as ‘Different Odd & Even Pages’. However, for some reason completely beyond my comprehension, I cannot get the positive and negative behaviour points to appear at the bottom of the page as required. I’ve tried adjusting the size/layout of the header (including the crest within), but to no avail. At least when I ran the merge, the heading appeared on alternate pages as required. I think the solution could be to reduce the margin of the footer, but it doesn’t appear to be able to do this. I’ve attached a file (‘Y7 Mail Merge Issue’) showing the steps I’ve taken to date. I will ultimately try and run the merge using ‘Y7 Autumn Term Review 2’, but I need to know how to adjust the appropriate settings to ensure that (i) the positive and negative behaviour points appear at the bottom of the page, (ii) the pedagogy wheel appears in its entirety on the reverse of the front page. Would anyone be able to assist me with this please? Very many thanks in anticipation of your assistance. Hi, We have duplicated a new student in Bromcom in error. Is there a way to combine his two records, or does this have to be done manually? Many thanks in anticipation of your help.

Good morning Following the departure of a colleague at the end of the last AY, I have inherited elements of her role, including importing CTFs for new students. However, it's not clear to me which students already have CTFs imported, and which are still awaiting import. Is there an easy means of identifying those students for whom CTFs are still required? Many thanks in anticipation of your assistance.

Query re discrepancy in KS2 scores downloaded from DfE
CarterUSM replied to CarterUSM's topic in MIS Systems
I'm guessing there's no scope for doing this for KS3 students (the student in question has gone into our y8), in which case we'll presumably have to wait until she enters y10? -
Query re discrepancy in KS2 scores downloaded from DfE
CarterUSM replied to CarterUSM's topic in MIS Systems
Thanks very much for clarifying this. Just as a matter of interest - how do you gain access to the override column of their KS2 prior attainment area? Many thanks in anticipation, -
Hi I have just downloaded KS2 results for a student from the DfE GIAP site. It just so happens that the READSCORE, MATSCORE & GPSSCORE are all 3 higher than the READSCORE_noSpeccon, MATSCORE_noSpeccon & GPSSCORE_noSpeccon scores. I’ve never encountered a case where the ‘normal’ scores differ from the ‘noSpeccon’ scores. How do I know which ones to import into our MIS? Many thanks in anticipation of your help.

[bromcom] To amend access rights/editing permissions for member of staff
CarterUSM replied to CarterUSM's topic in MIS Systems
Thank you for your prompt reply. I've just checked the permissions allocated to the Support Officer role under Framework (as per the attached file), and unfortunately there is no permission to add a new record/edit/delete - only to Access or Save. Would those rights for the 'Health Background' area be available under another module, perhaps? Is there an easy means (a report, perhaps) which enables me to identify under which modules where it's possible to add a new record/edit/delete for a particular permission? (obviously in this case, I'd be interested in all of the 'Health Background' permissions.) Once again, many thanks in anticipation of your help. Support Officer - Framework permissions.docx -
Hi I have been asked to give a member of teaching staff the capability to modify Medical Information and User Defined fields on Bromcom. This is due to her role as Mobility Officer and dealing with Health Care Plans. At the moment, her only assigned role on Bromcom is as ‘Teacher’. Would anyone be able to advise which role she will need to be assigned, in order to enable her to perform the above tasks? Please could you also confirm the permissions within each module attached to the role which need to be amended (e.g. would it be relevant to amend any of the permissions listed under the ‘Framework’ module within the ‘Safeguarding User’ role?). Hi Is it possible to create any kind of report within Bromcom whereby a mail merged letter with personalised data (in this case, y10 option choices) is sent to a certain cohort of people (i.e. in this case, the parents of current y9 students)? In addition to sending out hard copies of the letters, our SLT would like electronic copies to be sent. But short of laboriously creating single documents for each y9 student, then attaching them manually to 40-odd emails, I don’t currently know any other way of sending them electronically. Many thanks in anticipation of your assistance.

Hi Can someone confirm the current status regarding the functionality of the KS5 Dashboard? Is it still only available for the purposes of exam results? Our SLT are interested in the possibility of using it for termly assessment, as per the KS4 Dashboard; does anyone know if there are any plans to extend it to cover this purpose? Also - does anyone know if there are any training notes or videos for the KS5 Dashboard? I made a posting on Bromcom Community last week regarding the functionality of the KS5 dashboard, but as yet have received no reply. Many thanks in anticipation of your help.

Thanks for your reply. Do you have the link to the video? Also, could you advise the specific area within the link where I can find details of appropriate training? Many thanks in anticipation.

Hi Is anyone else concerned about Bromcom’s intention to retire the adhoc reporting facility at the end of the current AY? In accordance with the announcement of 28/11/22, as a trial, I converted (or thought I had converted) one of my adhoc reports into a Quick Report, as per the procedure. Having converted it – what is supposed to happen to it? How am I supposed to access it in future? Where is it supposed to have been migrated to? I rely heavily upon mail merge adhoc reports to produce termly reports which are sent to parents. As things stand, the removal of the adhoc reports facility is likely to seriously impair my ability to perform my role. I note with concern that other users are encountering difficulties with the Mail Merge process. I feel that if Bromcom expect us to use Quick Reports, the onus should be on them to run training courses on how to convert our existing adhoc reports. As it is, it appears that all mail merge Word templates will have to be laboriously respecced from scratch, and this is clearly not desirable. I have not yet informed my SLT of this development yet, in the hope that this course of action can be at least postponed or modified until users are ready for it. Can anyone suggest the best course of action to ensure that Bromcom are fully aware of our concerns, in the hope they may reconsider or modify their proposal? Many thanks in anticipation.

[bromcom] Issues re synchronisation between Bromcom & epraise
CarterUSM posted a topic in MIS Systems
Hi Is there anyone out there familiar with resolving synchronisation problems between Bromcom and epraise? I am not familiar with the workings of epraise; I’ve been asked to investigate this matter of a colleague who is the lead epraise administrator at our school. The issue is that he is trying to add sibling records to one particular parental contact, but once he has done this on epraise and then attempts to link the changes to Bromcom, the record for the younger sibling he has just added to epraise, is then swiped from epraise. I’ve attached screenshots which I hope explain the situation. My colleague has confirmed that all relevant details are identical for both siblings on Bromcom. Is there anyone familiar with this scenario, who may be able to assist? Very many thanks in anticipation of your assistance. -
Hi Thank you for your reply. The issue is that the Progress 8 figures produced on the Dashboard, are dependent on the fine level scores; students with no fine level scores are omitted from the calculation, even though they have average scaled scores. How relevant is Progress 8 as a measure of progress now, if it cannot be measured without fine level scores? Is it now dependent on something else, and if so, will the KS4 Dashboard be updated to take this into account? In the meantime, there appears to be an obvious relationship between the average scaled score and the fine score. For the purposes of obtaining Progress 8 calculations within the Dashboard, would it be an acceptable approximation to derive estimated figures for the fine scores from the average scaled scores? Many thanks in anticipation of your help.

Hi Can someone please confirm the correct procedure for deriving the Key Stage 2 Fine Scores, for the purposes of inputting fine scores into the KS4 Attainment Dashboard for those students currently without fine scores? It used to be the case that fine scores could be derived from just the Reading and Maths scaled scores. Has this changed since 2019? The table in the DfE secondary accountability measures for 2022 (https://assets.publishing.service.gov.uk/government/uploads/system/uploads/attachment_data/file/1112046/Secondary_accountability_measures_2022_guide.pdf , page 67) details how to derive the expected Attainment 8 average from the average KS2 scaled score – but there seems to be no way of deriving the KS2 fine levels from the expected Att 8 average as there used to be. Any assistance in this area would be very gratefully appreciated. Many thanks in anticipation.

Hi I need to convert Key Stage 2 scaled scores to KS2 fine levels for the purposes of using the KS4 attainment dashboard. In previous years I’ve used an app which originated from the TES (https://www.tes.com/teaching-resource/scaled-score-to-fine-level-conversion-and-attainment-8-changes-2016-19-12405878 ). Would anyone know if the scales contained within are still current? If not, is there a similar tool incorporating the current scales which I could use? Many thanks in anticipation.

Hi We are trying to import a CTF from one of our feeder primaries. Unfortunately they appear to have a coding issue which they are seemingly unable to resolve. I've attached a screenprint which indicates there's an error in a very specific location on the sheet. Obviously we are in a haste to import this CTF before the year end. Unfortunately I'm not much of a techie, but if anyone could point me in the right direction re resolving this error, I'd be extremely grateful (ideally I'd also attach a copy of the CTF but cannot do so because of the obvious requirement for confidentiality). Very many thanks in anticipation of your assistance. Cannot import CTF.docx

Bulk import of all info for new starters
CarterUSM replied to CarterUSM's topic in How do you do....it?
Thanks for all of your responses so far. It looks like we could be going down the Microsoft Office Forms route to import bulk data for new students. To this end I've started a prototype form, and completed a dummy entry (the form is of course subject to change). I've attached copies of both. The question I have is: how do I link the column headings in the Admission Form generated from the survey, with the appropriate fields within Bromcom? Any assistance would be gratefully appreciated. Thanks in anticipation. St John's School Admission Form - from Office.docx St John's School Admission Form - from Office copy.xlsx
