Jawloms Posted March 17, 2020 Posted March 17, 2020 I'm sure I saw something the other day from Capita about entering the Y code and I can't find it at all now. Did I make it up, or did I see something? Anyone know where it is please? Thank you Stuart
TechMonkey Posted March 17, 2020 Posted March 17, 2020 We've got Y as enforced enclosure. So if you were dreaming we dreamed it too.
Chaniel Posted March 17, 2020 Posted March 17, 2020 You weren't dreaming, this was in an email sent out 04/03/2020 by our Capita CSM Coronavirus – Guidance from the DfE The DfE Have provided the below information regarding Coronavirus and recording absence: Where a pupil cannot attend school due to illness, as normally would happen, the pupil should be recorded as absent in the attendance register and the school will authorise the absence. Code I (Illness) should be used in this instance. Where a pupil is in self-isolation, in accordance with latest information and advice from Department of Health and Social Care and Public Health England, the pupil should be recorded as unable to attend due to exceptional circumstances in the attendance register. Code Y (Unable to attend due to exceptional circumstances) should be used in this instance. Any updates will be posted here: https://myaccount.capita-cs.co.uk/Notifications/sims-newsfeed-coronavirus-guidance/
Seb1780 Posted March 17, 2020 Posted March 17, 2020 (edited) There is something on the announcements page of MyAccount relating to this. DfE finally issued written guidance yesterday, in summary:- Y code - used to indicate a child self-isolating in accordance with Gov. recommendations I code - used to indicate a child that is ill with COVID-19 C code - used for a child kept away from school because of compromised health (but not self isolating) O code - used for a child kept away from school in any other situation (normally parent saying they don't want to send child) Edited March 17, 2020 by Seb1780 1
CAM Posted March 17, 2020 Posted March 17, 2020 Focus -> Lesson Monitor -> Exceptional Circumstances. 1
SarahGSL Posted March 17, 2020 Posted March 17, 2020 Does anyone know if you can add additional student names to an existing Y code entry? I seen to be able to edit dates, sessions and reasons but not add names... Thanks!
Seb1780 Posted March 17, 2020 Posted March 17, 2020 No, you will need to create a new entry for the additional student(s)
CAM Posted March 18, 2020 Posted March 18, 2020 And double, triple, quadruple check the date range. You don't want to flood fill your entire register with Y codes by mistake. 1
Kaz77 Posted March 18, 2020 Posted March 18, 2020 The instructions I got from Capita are: 1. Make sure the students do not have any attendance codes within the date range you would like to apply the Y code for 2. Navigate into Focus – Attendance – Exceptional Circumstance 3. Select New 4. Select a date range 5. Change group type from ‘Whole School’ to ‘Individual Students’ 6. Click search 7. Select the student you would like to apply this for, or alternatively, press and hold ‘Ctrl’ on your keyboard to select multiple students 8. Enter a description which is at the bottom of the screen 9. Click Apply 10. Ensure the information is all correct 11. Restart SIMS Not sure why you have to restart SIMS. Our Attendance Officer just went back into the register and could see that the changes had been made
james.howell Posted March 18, 2020 Posted March 18, 2020 Does anyone know how to "undo" a Y code entry? We have one student who was assigned it by mistake, but deleting the unexpected closure doesn't fix them having a Y in the register still. I'm sure we have managed to delete them previously. Is it maybe that you can only remove them on the day and not after maybe? Appreciate any ideas, and my attendance officer would be equally as grateful!
howartp Posted March 18, 2020 Posted March 18, 2020 Does this help: https://support.capitasoftware.com/csm?id=community_question&sys_id=87ac9d621ba7c4d08e4e97de1d4bcbba
Arthur Posted March 18, 2020 Posted March 18, 2020 You don't want to flood fill your entire register with Y codes by mistake. This it what our attendance officer did to every single register today. Luckily it was just today, rather than the entire week, month or year. Hopefully it's possible to undo?
