Hi All,

 

How are you currently licensing Office 2019 in your school. We are looking at options to upgrade our Office 2010 to 2019. Office 2010 end of support is 13 October 2020. I am aware of either you can buy the office 2019 out or using Microsoft OVS-ES Agreement For School?

 

Any advice welcome :)

yes just that, it'll cost you £49xFTE so not too much, we have a 101 FTE count times £49 we get office as part of the desktop pack. (which has all the connection licensing for the servers) This is an annual cost. (FTE is pretty much anyone who uses a computer now) Edited by chazzy2501

Given 2019 EOL is not 10 years away, but only 5.5 years, it's not worth buying outright in 90% of cases. So probably easiest to switch to paying yearly for O365.

 

I switched to LibreOffice, GSuite, and MS Web Office, all free, and all way easier to install.

Pretty much, I believe Knowledge Worker (KW) is how they define it now, replacing FTE.

 

If you're going down the licensing route, you can take one of two options; If you have 999 or less users, then you'll need an OVS-ES agreement. If you have 1000 or more users, you'll need EES agreement. (Note: Users is not KW, it's a bit confusing. Your total user count defines whether you'll get OVS-ES or EES. Then the amount you actually pay is based on your KW count)

You can licence Office 2019 based on your FTE count and this entitles you to use it on any school owned device. You can also have free copies of Office 365 for staff and pupil use.

 

That's the high level answer but as with all Microsoft licencing, probably best to go over options - Give me a shout if you need any help.

We mainly use office 2016 and have OVS based on FTE (i.e. mainly headcount of teachers)

 

Just looking I can see the agreement as active with these dates:

Start Date : 2017-12

End Date : 2020-11

Renewal Date : 2023-11

 

so now I'm confused, when will I need to switch to KW count, 2020-11 or 2023-11 ?

KW count is at least double FTE !

 

(currently don't include teaching assistants under FTE but assume they would come under new KW definition ?)

Under FTE definitions, it only really classifies teachers as Full Time Educators. When you switch to KW, it's basically all staff that use a computer at all as part of their job. So that includes TAs, but can exclude, say, cleaners.

But if you want to make use of MS's Device Based Subscriptions you will need EES as for some reason you can't add DBS to OVS-ES - see a longer thread on this forum about this!

Yeah, I've been on the thick end of that stick with Microsoft support. Those of us on OVS-ES are stuck with Office 2019.

Under FTE it never only included teachers though.

 

That said MS licensing is very complicated.

A lot of our TAs have a laptop allocated to them. These are counted in the FTE regardless of whether they use it or not. The other TA's don't have a laptop but can still use SIMS, email, work intranet legitimately and aren't included as an FTE as this use accounts for less than 20% of their work

However my understanding is the 20% rule never existed and I couldn't find it in any documentation.

 

The documentation I've seen and had consistently quoted by resellers was always if the person worked for 200 hours per year or more they counted in your FTE numbers if they used a computer at all. If they were say a gardener then they didn't count if they never touched a computer at all.

Just when I think I understand Microsoft licensing.... You're right Primus, nor can I find anything, but I have definitely seen it explained in that way somewhere. Looking at it, fortunately I included them as they are provisioned with OneDrive etc and I doubted Microsoft would be that generous!

2023-11 however you need to correctly apply the FTE requirements at your next renewal - eg. if you're excluding TAs as they don't use a computer very often but they work more than 200 hours per year you will need to include them now.

Although actually that doesn't look right since as far as I know the longest you can lock in pricing subscriptions for is 3 years.

 

Ours appears wrong too as I know ours is a 3 year sub yet it says it renews in 2024.

So it looks like you took out a 3 year sub in 2017 so your next renewal you need to move to the current pricing and regs. But my point about your FTE count would have stood anyways.

Sorry to bring up an old thread but it's just the information I'm looking for as our MS renewal is due soon.

 

Previously when calculating FTE I only counted staff that actively use a computer as part of their work and never really counted TAs apart from the HLTAs but all that looks set to change. Further to this I've been asked to make domain and 365 logons for cleaners so that they can be emailed instead of handing them a printed sheet. Would this count as FTE or the new KW when it starts? We are a primary with 500 NOR and at the last FTE count it was 34.

My understanding is that they would be counted under KW, as FTE is no longer used.
