Hi - we use outlook as a school currently to track the main school activities but also need to add trips, deadlines, lettings so we have a full view of what's happening. Adding it all in outlook makes it look too busy so we need a good shared calendar, easily printable that can be filtered to show all trips or assessment dates for example. Anyone recommend a package? (I don't post to edugeek as a rule so apologies if this is in the wrong area!)

I'd be wary of introducing an extra system - it always introduces errors and omissions. How about creating users called Trips, Lettings and the same for the other categories you need and then inviting them to all of the relevant appointments. Eg the person organising the year 8 trip puts it in their calendar and invites the user "Trips". Then anyone who has view access to Trips can open that calendar and print it out if they need to.

 

Once you're using an electronic calendar, I think printing it out is dangerous - you invariably end up with out of date copies flushing around - and once you're talking about a whole school, I can't imagine a system that is both comprehensive and ready to read in a print format.

Can you categorise the events on the calendar and then use that to filter?

As @jmak suggested too, we have users called Staff Calendar and such to keep different events on different calendars. And we strongly suggest people don’t print them out due to changes.

We have the main calendar which has everything on it colour coded so people can easily know what they are looking at/for.

Would you consider different calendars for different areas and showing staff how to use the Overlay feature or Calendar Groups along with Categories?
