Scan to email

Anyone using selectec m3i with papercut for scanning to email on ricoh copiers? we have just moved to office 365 and I can't send by ways of our internal mail server anymore as the socket connection gets refused.

 

Just wondered what others were using as their settings?

We have Ricoh and Toshiba MFDs, and configured PaperCut MF using Option 2 within this guide (https://docs.microsoft.com/en-us/exchange/mail-flow-best-practices/how-to-set-up-a-multifunction-device-or-application-to-send-email-using-office-3) as we only need (and want) scanning to our organisational email accounts. e.g. scan to themselves.

Yes use a mail relay server to get the mail to Office365. You will need to white list the mail relay external IP address in Office 365 also than point all the devices /m3i config to onsite mail relay. Basic mail relay SMTP service comes with windows Server should do what you need.

We go direct to Office 365 now. The trick is sending from a genuine account with login details set not from the user. Then it authenticate.

if the m3i software lets you put in user credentials then yes that will work fine.

 

However if you can't, (and you will find some legacy applications that don't allow authentication and TLS) then you will need an onsite mail relay. Option 3 in this document.

I expect you will find something eventually that can only be set up by using onsite mail relay so might as well set one up now.

Just remember to edit your SPF record or they'll go to junk.

We have a "Sendas" account that is added to everyone's sendas property for our toshiba MFDs. The "Sendas' account is configured on all MFDs to use this so users are able to send to themselves. At the time we moved over to Office365 there wasn't much reference regarding it.

 

If there is a simpler way of doing it, i'd love to know.

I ended up doing the same as you timbo343 seemed the easiest way to do it. I've been trying to send an email through our SMTP relay to someone from an account where no user or mailbox exists, similar to how someone would spoof something but I have a genuine reason and used to do this when we just had on prem exchange but I can't get it to work on O365.

 

So for example I want to send an email from an address called [email protected] through our SMTP relay but there is not a user or mailbox associated with it, can this be done?

We have a mailbox for our sendas account. I've not tried to spoof it but ive had to add a rule in our Office365 mailflows to check the headers for the device name and allow a connection through to the mailbox of the user.

have you check the password is right on the printer for paper cut

we have an account called notifications set and hidden from global address list,although some older equipment need a relay im sure i can use my old exchange box for this just need a guide
