Office 365 - Shared Staff Calendar

Hi everyone,

 

I've been tasked with finding the best way of creating a shared staff calendar adding everyone who is part of a distribution group (preferably automatically adding new staff who are added to the distribution group too). We're after the calendar being added to their account with minimal user input required (to ensure they have access) as our previous roll outs have required links being clicked once the calendar has been shared.

 

Does anyone have any recommendations?

I'm not sure if this is the best way. But in the past we have created a shared mailbox and added users to it. It will automatically show for users if they are using the Full outlook client.

You will need need to manually add the calendar and set permissions accordingly unless you want them to have access to the entire mailbox. In which case it’s auto discover

And you need to add people to the mailbox, not the group for the autodiscovery to work properly.

We have created an account namely 'School Calendar' the member of staff that manages the school calendar then creates and manages events on this calendar. The calendar is shared with our all staff distribution list/security group which grants any member of that group access to the details of the calendar as long as your group is up to date everyone will have access.

 

For most the calendar automatically appears in their calendars area however, if it does not all they need to do is click 'Add calendar', 'From directory' and then search for 'School Calendar'.

 

To expand on this further we then have separate calendars for other purposes - for example a publicly accessible calendar for parents that is then pulled through our website. Rather than recreating all events on a new calendar, relevant events are just shared with the relevant calendars.

I went for a similar solution. However I am looking for a way that the "School Calendar" mailbox is activated automatically, rather than the user having too tick it.
