Looking for some software to log the work done while a technician is onsite i.e:

 

Fixed Projector

Fixed Board

Time spent onsite 2 hours

Tech Name

 

We have a helpdesk but everything is not always submitted as a ticket or is routine work.

 

Anyone got any recommendations?

We retrospectively log all calls on our helpdesk for our primaries. If the issue has been identified by an individual we can log the ticket as them otherwise, we just log the call with a generic IT Support user assigned and add the resolution for future reference if necessary.

 

We will soon be providing the headteachers at each of our schools with reporting functionality so they can see exactly what jobs are getting done and logged by who on a weekly basis - if they wish.

Most (if not all) helpdesk software has the option to enter how much time you took to do something. Take a look at Spiceworks - it's free :)

Free version of Freshdesk. Allows staff to submit tickets and also allows your technician to create and close tickets for issues. Easy enough to then provide a report to HoS for all tickets based on the subject type you have created (problem, request, question, etc)

Is the subject type a default category in Freshdesk or one you've added as a customisation?

 

I ask as we used to use Spiceworks and sometimes you could log the same type of issue under different categories which had been added over time, which didn't help with reporting or trying to run reports off a category. I guess it does depend on how much you want to break down items for analysis of the type of IT issue e.g. Incident, Change, Problem etc
