russdev Posted April 24, 2008 Posted April 24, 2008 We have an email address admin@ like lot of schools but wrongly or rightly staff like to keep some emails 'stored' in that email but this of course means box fill very quickly. So question is what is limit on your mailboxes we currently have it at 50mb (and we can't change that). Does your admin box gets filled up very quickly I would like to hear from east midlands schools but non east midlands schools welcome to answer as well. Russ
Michael Posted April 24, 2008 Posted April 24, 2008 The school Admin accounts I look after are 100MB each (per school) with Teacher accounts at 50MB each. Stupid question, but why would staff want to store mail here and not in their own accounts?

sparkeh Posted April 24, 2008 Posted April 24, 2008 One school I work at is really bad at this. For some reason all incoming emails, to the admin address, are put into a folder for the relevant staff member who then comes and looks at them. Consequently the one account is storing mail for most of the staff. Not attempt to change this has succeeded. Another school is very good and actually forwards the mail to the relevant staff members own account so the inbox stay quite empty.

Michael Posted April 24, 2008 Posted April 24, 2008 Maybe I'm missing the point, but it would be logical to give the Head his/her own e-mail address and for everyone else to use their own address. The Admin account should be used for Spam filtering and account administration only. This is normally looked after by the Technician or ICT Co. on site.
pete Posted April 24, 2008 Posted April 24, 2008 We have headmaster@ finance@ and sysadmin@ as the standard catchall accounts. The head, finance people and I have separate personal accounts. 95% of the mail to the catchall is either spam or marketing rubbish.

elsiegee40 Posted April 24, 2008 Posted April 24, 2008 We use RM EasyMail as webmail, however the head, secretary, bursar & registrar all use it via Outlook in school. The rules for Outlook say delete it from the online mailbox after 30 days and that seems to be enough to keep it clear. As for the Outlook folder size, I'm fortunate: The bursar, registrar and secretary are all ruthless and keep them cleared out. The HT is exactly the opposite, but with prompting from me on a regular basis does clear out. The advantages of a small school, I guess.

Reason we moved away from using outlook an pop3 was depends on what day depends on who checks it..

Jobos Posted April 24, 2008 Posted April 24, 2008 Like many we run our own exchange server with the office staff having access to a shared admin@ mailbox. The head has own mailbox but any emails that arrive at the admin@ address can be forwarded to other people easily. The admin email is a magnet for spam but at least with a shared mailbox it doesn’t have to be sorted by just one person.
