Emailing Photos

I have had a request for a shared mailbox account for an early years department - the staff members would like parents to email in photos and evidence of the children learning at home.

 

Can I have advice as to where the school stands re photos of children being emailed into school - is this allowable or something I should be highlighting as a risk?

Who has access to the photos?

 

Who can send from this mailbox?

 

How would you know if this mailbox, or the photos in it were being used, shared or redistributed appropriately?

 

Do you have the parents agreement to do whatever you intend to do with the pictures? Store them, stick them to the wall for everyone to see, ...

 

How long do they intend to retain these pictures?

 

Where will they be stored?

Why the **** do they need evidence of learning at home? Surely it’s the learning at school that needs to be evidenced? As a parent, I would probably refuse to comply.

I was asked the same thing last week. I don't think there's any additional risk (compared to your standard use of the school's chosen email system) as long as the personal data is being sent to the school. I'd suggest it's not suitable to send from unless you make it an official way of communicating to parents.

Point them at online systems such as Tapestry, this does everything they are wanting to achieve.
