I'm looking to move our user directories to file stream over the next few years. I've noticed though that when you delete a file from the G: drive that is known Google Docs that file is gone. Anyone using a 3rd party backup for their Google content?

Not tested but does the file not end up in a bin?

 

You can recover users delete files from the admin console. Would that solution be sufficient?

Would you need to know which user had deleted the file?

 

I have noticed that most 3rd party backup systems are very expensive, none of my primary schools would be able to afford them.

Unless Google have changed things since last time I tried this, shared files don't always end up in your Bin, no idea where they do go though, possibly the owner's Bin?

 

We have Spanning Backup on our Google Apps, but only on staff accounts as we couldn't justify the cost for students. Backupify is also worth a look; I preferred Spanning as it handled shared files better, with Backupify you needed to know the file owner in order to restore it, and will files in shared folders, that would be impossible to know.

With spanning tree do you know how they charge for team drives? The reason I ask is we have one main user that is putting everything in Team Drives (They are just testing Google drive) and other staff might dip in and out of that team drive if needed, but really its only going to be one user account that needs backing up and I am curious how they would stop everyone doing this and saving money. We could simply say to all the staff everything in Team drives is backed up, anywhere else will rely on Googles built in restore systems.

You'd need to ask Spanning that question. We don't use Team Drives here, and the shared folders we do have are used by lots of staff, so your model isn't one I'd have asked about.

Where is the Team Drive Trash?

 

and also

the data is gone forever unless you have additional Vault policies

We do have drive Vault policy set to forever, does that also include Team Drives?

right click the team drive, press view bin

 

and as for vault i dunno... it seems to do what it likes regardless

Does the Team Drive trash include files outside of Google Docs? That seems to be the issue with Vault. The only search options are for Google files, but If I have users store PhotoShop or AutoCad files in the G drive and they are deleted Vault has no restore option. Ideally people would only delete what they do not need and definitely not delete it twice, but the edu space is not an ideal one :-). I will look at some of the backup options mentioned here.

You can use Vault to retain, hold, and search for files in your organization's Drives and Team Drives. Vault supports Google file types and non-Google file types such, as PDF, DOCX, and JPG.

 

Not sure if they are the only non google file types or they are just listing those as examples

How much do you guys pay for Spanning please?

 

Off the top of my head, £mid-teens per staff member and a few quid per student, annually of course. It does depend on the number of accounts covered though. We only cover the staff as we decided we couldn't justify the cost for students too (exam work isn't held in Drive.

Just got a quote for spanning and it was $3.20 per user. For the value it provides it seems worth it to me for users that work with critical data such as administration. I'm going to roll it out this summer and move all of my central office users to File Stream.

You don't need File Stream to use Spanning, it can also back up Mail and Drive folders too.

 

I'm not amused by your price though - $3.20 is significantly less than I'm paying!

Spanning and File Stream are the main reasons for some of my schools moving to G Suite. Price you got is also cheaper than I managed, although we do not have many users as I just look after primary schools, so that might bump things up. Does your quote include Team Drives?

Enjay, I'm looking to move all files in the entire organization to File Stream, so Spanning fills the need of backing up any file. Also, we went through Dell for the purchase, so perhaps it is cheaper that way.

Yes, unless you empty the Bin. It is a bit fiddly with shared docs though, as the item goes to the Bin of the creator - who may have left the school by now!

 

I wouldn't want to run disaster recovery based on users pulling things back from their Bins within 30 days, though.
