I am currently in the process of setting up our papercut system to allow departmental billing. I want to create all the groups in AD and sync the groups and users.

 

What is the best practice in using groups for this? Should I use security or distribution groups?

I use security groups.

The way we do it is also manually create an account for each department. That account (using the security setting of the account) is only given to the corresponding group.

Our staff have no individual user budget. They can only use a department account.

Staff are added to the correct AD security group on creation by script (or manually with a role change like becoming SLT).

Our school are currently trailing PaperCut MF. I found that the easier is syncing AD in which users are members are in e.g &AllTeachers or &SLT etc. During administration to get users/groups synced, while logged into the interface, click on the Options tab, then sub group: Users/Group Sync - you can pick and choose which groups to have whether it involves staff or students, depending on your set up. there is guide on the papercut website: Synchronizing user and group details

 

I have disabled all personal accounts for ease and transferred all our cost centre budgets for printing on to PaperCut using the Accounts tab - i found it easier adjusting the template account first i.e default balance, any restrictions etc then proceeding onto creating the accounts.

Global Security Groups here.

 

Staff can only print to departmental budgets not personal accounts.

 

Add the groups in to papercut

Create the linked Account - on the security tab add the group.

 

For any staff who are only in one group we edit their profile on PC under Account Selection "Automatically charge to a single shared account" - then pick the account.

 

Everyone else has to choose which budget to print to if they are in multiple cost centres.

 

 

 

Students are the opposite, they get charged individually and depending on year group have a set balance.

Exactly what we do, too.

 

User are set to charge printing to personal accounts but allocate to a shared account for reporting - this means the widget in the corner of their screen tracks all their printing/copying, even when they have multiple budgets.
