marsdenprimary Posted January 20, 2016 Posted January 20, 2016 Hello! Our headteacher wants to know how to send an email to ALL STAFF without having to add individual emails one by one to a distribution list. How can I set up these groups centrally as admin so they appear on everyone's lists? I'd like to be able to do it via a csv or something. Or by being able to select all the emails already in the system and putting them in that way. It's a horribly convoluted system this Outlook 365 Hope you can help!!
JonThompson Posted January 20, 2016 Posted January 20, 2016 marsdenprimary, You need to sign into the 365 Portal, go to the Admin Section, on the left hand side under ADMIN, select Exchange, and then under recipients select groups and click on the + sign and then distribution group. You will have to add members to the group manually, but you can multi select users using the shift key and selecting the members that way. If you want to use a CSV import then you'll need to use Powershell. After a quick Google search, I've found this site- Manage Distribution Groups by using PowerShell | Office 365 - o365info.com (I've not used Powershell to manage distribution groups before, so I cant help you on that bit, but I'm sure someone on here probably has).
StevieM Posted January 20, 2016 Posted January 20, 2016 +1 for O365info.com. I would definitely recommend getting your head around using PowerShell and CSVs.
marsdenprimary Posted January 21, 2016 Author Posted January 21, 2016 Hey guys! Using this information you gave I managed to get it sorted so thanks for that. We use the online version of Office 365 so the process was a little different but got there in the end. I was having trouble loading the page i needed in the first place because of some Internet Explorer hissy fit on the computer but swapping machines helped. Just for reference I went here to create the groups etc: https://outlook.office.com/ecp/ Thanks again!

Using PowerShell gives you so much more control. It may take a while to get your head around it at first but, once you've got even a basic understanding, it will make your job so much easier. Glad you got it sorted, though.
