After the shambles at our place with getting usernames together this week when new staff arive at our door i was wondering if it would be a good idea to put it all in a little booklet? Anyone do this and want to share theres? Regards
trekmad Posted September 8, 2015 Posted September 8, 2015 We issue all staff with a single A4 sheet containing their username, password, email address and copier code. Additionally there are the internet links to our MIS, VLE's and how to contact IT support with our opening times. We then spend about 5 mins per staff member running them through the systems which usually suffices. This year we had a morning of inset dedicated to our MIS/VLE and clickview so new and existing staff got a refresher. Hopefully we will do this every year from now on. Many thanks Stuart
Marc_EduTech Posted September 8, 2015 Posted September 8, 2015 We've had a few different iterations over the years, however have settled on one that provides most login details (Network/Email/MIS/Telephone), and then some FAQ style info. From there, we throw a couple of introductory emails out so they are the first they see in their mailboxes, which provide some instruction on logging support calls, and details on how to access the intranet and our user guide/wiki. I must say, this year the packs have really hit staff well, and we've seen a dramatic reduction of calls logged at the start of the year, when compared to similar times of previous years. It's certainly a worthwhile exercise.

It's a high level overview so that they get an idea of what can be done and what they can ask for more details of. Full document isn't much use to you because it's so specific to us, and it'd take a lot of redacting on my part, but the table of contents (with notes in brackets) is: Shared Drives - the difference between Staff, Academic, Submission etc. Email Webmail ePortal VLE File Access from Home (Home Access Plus+) IT Support (Spiceworks) Recovering Lost/Overwritten Files (Previous Versions) Web Filtering (Smoothwall and the temporary unblock system) Unfiltered Staff Room PC (we have a standalone PC on a BT Broadband connection) Banning Students Monitoring Computers (LanSchool) Printing Scanning Room Booking Headphones Assemblies Recording TV Programmes Intranet Page (requesting links be added, urgent messages etc.) Headed Paper (we push a .dotx file out as a template for staff) Most of the above are one or two paragraphs at most.
SovietRussia Posted September 9, 2015 Posted September 9, 2015 We do a pack it contains their ID card, booklet on how to connect to the WiFi, booklet on how to connect emails to their phone, booklet with other tutorials in, their username and then password.
Duranis Posted September 9, 2015 Posted September 9, 2015 hmmmmm I'm feeling rather bad now, I never gave much thought to making an IT welcome pack for new staff. All I did was set up the accounts and pass them on to the office staff to deal with. In fairness I have been working on putting together documentation for all the staff to help with the IT side of things and its not often we get new staff here. Now added "IT welcome pack" to my todo list.

NewFormz Posted September 9, 2015 Posted September 9, 2015 We have a 25 page guide that lets every one what is available to them. It was one of the best things I have done as it actually got a lot more people using our resources and also stopped me from having to answer the same questions over and over. This year I've also done shorter ones for students and parents as well.
Gibson335 Posted September 9, 2015 Posted September 9, 2015 I provide a guide, with a special section for staff, which is stored on a network share and they can access it from a link I include in a mail. There is also an Excel file for them with all new students users on it. In the same area they also get their remote RDP files.
