Managed Print Solutions

Hello All,

 

Just dipping my little toe into a very big and varied topic here (and maybe in the wrong forum).

 

Over the past 3 years (We had a BSF build) we have watched our current safecom printing solutions increase, to the point where I am spending about 2000 a month on toners (but some are office printer most are curriculum). We have 7 Floorstanding A4 MFDs and one desktop A3 laser on our safecom system and I am debating whether we could save costs by going over to a managed print solution, like our photocopier is. I have gone to our photocopier suppliers (Ricoh with Kent County Supplies), and I am also seeing the people who supply our toners (Oki with Silicon Alley). Does anyone have any words of warning on this and any suggestions of who else is good to speak to.

There is the RM1599 Government Procurement Framework for photocopiers (Xerox only in lot 1) - their high-end machine is £150/qtr lease with 1.99p per colour page and 0.199p per mono. If that helps https://www.mfd-rm1599.com/Default.aspx

I wasn't here when our current lease was signed, but at the moment we're paying 4.9pence per colour page! Similar quotes I've seen from 3-4 other companies are similar pricing.

 

This includes all toner and servicing, though?

Think before you jump into managed print solutions !

A few factors to think about ......

1. Its a combination of lease and service contract so expensive to get out of if things go wrong .

2. Check out what annual increases are in the small print 10% per annum compounding soon mounts up.

3. You are not just buying X no. of prints per month you are leasing equipment will it last 5 years ?

( We reckon 3 years max )

4. What happens when some of the equipment becomes worn out before the agreement ends ??

( Messy expensive problem )

5. Who knows where budgets will be in 3 - 5 years time , there is no going back on these agreements.

 

On the plus side the idea of no more print problems for years sounds great but "Managed Print" is not the only way.
