Zoom7000 Posted December 17, 2012 Posted December 17, 2012 A few members of staff will be leaving us at Christmas (including the Headteacher). I have been asked by one of the leavers if it is possible to export their entire mailbox (Exchange 2007) to a personal mail service like Gmail/Yahoo/Hotmail etc. I tried using Gmail's import function and put in our POP details but it just won't go through. Is there any other way I can achieve what is being requested?
Psymon Posted December 17, 2012 Posted December 17, 2012 We tend to just archive everything older than 0 days (everything) to a .pst file. Give them a copy of this - it's their business if they want to put it back into the cloud.
SYNACK Posted December 17, 2012 Posted December 17, 2012 Yea, use Outlook. Back the whole lot into a PST and give it to them, if you really want you can hook up exchange to their ProviderX account then import the PST up to the ProviderX account.
plexer Posted December 17, 2012 Posted December 17, 2012 Should you be doing that though? data protection? Ben
MatthewL Posted December 17, 2012 Posted December 17, 2012 The data doesn't belong to them, its the schools data, I would no do it.
glen_j Posted December 17, 2012 Posted December 17, 2012 we export to pst for future school requirements only, as MatthewL said the data is the schools, the same thing goes for their files.
Abaddon Posted December 17, 2012 Posted December 17, 2012 Basically what @MatthewL and @glen_j said.. if there are personal mails, we show them how to forward on (if necessary), but that's as far as it goes.
AJWhite1970 Posted December 17, 2012 Posted December 17, 2012 I agree with everything that's been said here, email belongs to the organization not the individual. However, IF you were backed into a corner and forced to do this, run portable Thunderbird on a USB stick on the work PC with the user logged in and it has a great import from outlook module that does the job nicely and leaves a standalone backup of the emails on a stick for them to take away.

That's not what it says here and will make life difficult if you follow it to the letter. Staff emails are not owned by firms, rules judge - ComputerworldUK.com
sukh Posted December 18, 2012 Posted December 18, 2012 For personal emails, it belongs to the users and they have a right to that. That link above seems to be related to business emails. I deal with these requests on a daily basis and are obliged to provide to the users if it's personal email if it's reasonable to do so.
