MatthewL Posted April 28, 2010 Posted April 28, 2010 Does anyone on here use Equitrac, we are looking to go to a managed print solution at work and this piece of software looks like what we will be using but there is no free download trial we can get yet, still waiting for someone to get back to us. We wouldn't mind having a gander at the software if possible.
srochford Posted April 28, 2010 Posted April 28, 2010 I have used it but not for 2 years so it could have changed since then. It worked well for us. It integrates with AD (we had it configured so you logged on at copiers using AD credentials) and the company didn't throw up their hands in horror when we not only read stuff from the SQL database but wrote to it as well. Googling for Equitrac trial software gives loads of hits so you should be able to find one (eg - Equitrac That's Australian but I think Kyocera UK also supply it) I do remember getting a trial version before we bought it.

Must be a common thing with photocopier companies as Ricoh use equitrac on the copiers they do as well - Equitrac express ( for education ), office and professional
nadeem Posted April 28, 2010 Posted April 28, 2010 It should be possible to get a trial version - we have one at the moment for testing (to work with Ricoh kit in the main)
MatthewL Posted April 28, 2010 Author Posted April 28, 2010 I've emailed for a trial version, just waiting for our contact to get back to us. We are looking to have various MFPs around and users been able to swipe cards and get their jobs, which I am told we can do. Srochford, what did you think to the software, it is friendly to use and is it powerful in what it can do?
srochford Posted April 29, 2010 Posted April 29, 2010 It was pretty good but this is at least one version ago (not sure of version numbers but I think we had version 3; version 4 was just coming out 2 years ago; don't know what version there is now)
MatthewL Posted April 29, 2010 Author Posted April 29, 2010 Cheers for that Steve, hopefully there will be an email in my inbox from yesterday when I get in today with a trial. Looks impressive and lots of the companies are going on about it, just want to have a play now!
dave.81 Posted April 29, 2010 Posted April 29, 2010 We had an online demo of this and it did look simple to use. Unfortuantly the amount it was going to cost was much more than it would save us over the year.
Edu-IT Posted April 29, 2010 Posted April 29, 2010 Just out of interest who are you using for your managed print solution?
MatthewL Posted April 29, 2010 Author Posted April 29, 2010 We have got 2 companies that we are looking at, both independant, just seeing who can offer the best now for us.
Equitrac Posted April 29, 2010 Posted April 29, 2010 Mathew, I can help with your trial as I work for Equitrac and can make sure you get the support you need. Regards, Toby
MatthewL Posted April 29, 2010 Author Posted April 29, 2010 Hi Toby, Do you have an email address I can contact you on please? Regards
MatthewL Posted May 8, 2010 Author Posted May 8, 2010 Thanks for all the replies I did get sorted in the end, the independent got back to me, I have the software just need to have a play now. Looks a good bit of software, just hope its what we want.
Equitrac Posted May 10, 2010 Posted May 10, 2010 Good news Matthew, if you get any issues or questions please feel free to contact [email protected] Regards, Toby
cismconn Posted June 21, 2010 Posted June 21, 2010 Thanks for all the replies I did get sorted in the end, the independent got back to me, I have the software just need to have a play now. Looks a good bit of software, just hope its what we want. Matthew- how did you get on with this? it is a good piece of software from our experience. we are big Equitrac users here, lots of MFDs and printers all being audited.
MatthewL Posted June 21, 2010 Author Posted June 21, 2010 To be honest I havent had the time to play with it yet. All seems good just need time to play more.
pern2808 Posted June 28, 2010 Posted June 28, 2010 Hi all, regarding Equitrac as discussed above. Yes it is a fantastic piece of software, I have personally installed this software in several schools and they have found it to be extremely useful especially in larger schools where the cost of software plus pcc's is recoverable over a period of time. I personally have found the external pcc's units with optional card readers etc to be more accurate when accounting. A few issues that I have come across over the last year or 2 are machines continuing to print even when account has hit £0.00 but this is not equiterac itself but third party software, hence preference to hard wired controllers.
cismconn Posted June 29, 2010 Posted June 29, 2010 hi Marco, yes, we had this problem also . usually there are settings per reader, we have it with our external (Mifare) card readers to block at zero for students. more for matthew this info, if you use a "print release" station then it works fine.. you can configure as needed. (release station is basically a standalone PC for releasing prints securely). Either method saves lots of money, paper, co2 etc stopping prints that you didn't need or print. We reckon it saves our organisation about £80,000 per year now.
pern2808 Posted June 29, 2010 Posted June 29, 2010 hi cismconn couldnt agree more. Pcc software has a few issues which hopefully manufacturers will sort out! But hard wired versions I prefer although more costly.
MatthewL Posted June 29, 2010 Author Posted June 29, 2010 Equitrac looks good from what I have seen but the cost is alot more than what we are willing to spend at the moment.
pern2808 Posted June 30, 2010 Posted June 30, 2010 Hi MatthewL how many MFP's / Printers do you want Equitrac to monitor and account for? Are they Ricoh MFP's?
MatthewL Posted June 30, 2010 Author Posted June 30, 2010 They are not Ricoh and it could be up to 30 but it could be as less as 10!
pern2808 Posted June 30, 2010 Posted June 30, 2010 Hi Matthew, I'm sure you are aware that there are 2 versions of Equitrac, a sort of lighter version which will manage up to 10 MFPs and then the "full" version which is unlimited mfps, If you know in the near future you are going to be adding more mfps to the network then the "full version" would be the obvious choice. Will you be using card readers or pin entry on the stations as this can affect cost? If you have any other questions feel free to ask!
