scanning from the photocopier to the server

Hi, we've just got a new Ricoh Photocopier MP4000 (I think). It's already networked and shared on our simple Windows 2000 network.

 

The copier has a scan feature so that it will scan docs and then put it on the server computer. Anyone know what I need to have on the server so that this will happen? Is it to do with ldap? If so, does Win2k have this, or do I need to buy something so it works?

 

All it will be is 1 teacher account to scan to a shared folder on the network.

Our Sharp photocopiers simply need a Windows share, you specify a username and password on the photocopier. They didn't, despite the reseller's assurances, work with our older Samba server, although I haven't tried them with our new one - if your Server 2000 server doesn't work, maybe try setting a new Samba share for the photocopier to use.

Not sure about the Ricoh but our sharp and Konica MFP's are able to scan to email which I've found more useful than scanning to a folder, most do have some LDAP functionality but I haven't tried sorting that out as yet

We have our Ricoh photocopies set up to email it to people - if its in a office where say 10 people use it you can set up mini- address books for scanning so you just click bob and then scan and it emails it to bob

We have that one in one of the schools and I just set up a simple share on the server and the path was set for the scan output on the copier, hey presto scanning to a network share so it can be accessed from anywhere.

In the screen grab its the folder authentication where you specify the username and password for the ADUC account - If you need any help with any of it, give me a shout.

 

As a quick work around on the ricohs - when in the scanner mode you can go to the store file button and select store only and ok that , then put your scan through and go to the web interface ( web image monitor ) and click on the document server link and it should show your scan there with 2 links ( one for tiff, pdf ) which you can click on and download the document to your computer - if you also have scan to email or folder setup on the copier then you will need to ensure you set the store file option back to store & send and ok it after doing it this way.

 

With ref to scanning to servers you set it up in a similar fashion to how you would on xp etc however as a last resort if you are still having issues then depending on security of the server and if its a domain controller or not you may need to disable smb signing via group policy - that or get an engineer out to update the firmware on the copier as I know there is a firmware update available to resolve the smb signing issue

 

I have a guide for the Ricoh's ( most of them ) to setup ldap, scan to email, scan to folder - obviously if you have a samba share setup on linux or another OS other then windows then I don't have any guides for this and I defo do not do linux lol

Thanks everyone, I managed to get it working. Created a share on the server, and used the photcopier web interface to add a user in the address book. Found out you can also add the user from the machine panel itself. All working well! Be nice to be able to batch add a load of users so they can scan to different folders though!

Might be your lucky day - go to http://http:\\www.ricoh-support.com\enduser\downloads

 

Scroll to the very bottom of the downloads page, one of the links down the left hand side should say Smart Device Monitor for Admins, click on this link, click on the download file from external website link and when it takes you to the next page ensure that you are downloading smart device monitor for admins for the relevant OS type ie 32 bit or 64 bit using the down blue arrow on the right hand side, think its currently on version 8

 

Once downloaded, run and extract the self extracting exe into a folder and run or launch the setup.exe to install it.

 

Once installed launch smart device monitor for admin and let it broadcast the network to find any / all ricoh devices --> ensuring you have at least one user account added into the address book of said copier either through Web Interface ( WIM aka web image monitor ) or through the control panel ( either or ) --> Right click on said photocopier in the smart device monitor for admin window --> Click on User Management Tool

 

It may prompt you for the login credentials for the photocopier, enter these ( by default username is admin ignoring the password field ), it should give you the equivalent of a progress bar ( may take a minute or two ) and give you a big dialog box where it shows you the currently added users --> The first menu ( file menu or whatever its called ) should have an option to export the users into a csv file, export it to the desktop or somewhere you can easily enough find and open the csv file with excel, add the rest of the users into the csv file using excel adding the relevant items under the relevant columns and save it ( as in file save ) and then use smart device monitor for admins ( in the same area as above ) to upload the amended csv file and this will add the rest of the users.

That's fab, thanks mac_shinobi. A question though- am I adding a user for the photocopier itself (so different people have different quotas etc), or is it adding someone to the address book, allowing just the scanning to be affected. We're not going down the route of quotas per teacher, so don't need to login or have a code, but may want to select a different folder to scan to.

Well, just found that below the option for user management tool, there is address book management. I'll try that!

You are adding at least one user for the scanning into the address book management ( on the control panel of the mfd ) and address book on web image monitor ( aka the web interface ). Will double check when at work and will post back this evening or on my lunch break to confirm - it will either be user management tool or address management tool ( cant remember which now )

 

When I was reffering to logging in that was just so that you could make relevant changes to the setup / config of the address book whether on the copier itself or when using Web Image Monitor ( or smart device monitor for admin ) because before user management or address management tools load it will prompt you for the login credentials which are by default

 

username : admin

ignoring the password field as no password is set ie leave it blank.

We scan to a share on the server from the copier, but in our case it's easier as it's done by our resources technician, who then re-sends it the user requests.

We think it's to do with changes to authentication under Win7, but with the Konica not wanting to log or report any diagnostic clues more specific than "the job was done improperly", who knows.

reboot required after running the 2 commands to disable smb 2 signing ( one line is one command ) and I had to run the command prompt as admin using the run as option

Cheers for that - tbh the bigger problem is that the copier doesn't give you any useful information about why things have failed so you can troubleshoot it logically. Took quite some time for us to realise that Win7 was the problem and it wasn't some generic config/network issue.

Not sure about other manufacturers but on the Ricoh MFD's after logging in as the admin --> configuration link on left --> System Log ( under the IPv4 or TCP/IP section ) gives a bit more information about the issue with a date and time stamp which gives a bit more of an indication of the issue - FYI this is on the web interface for the copier ( web image monitor ) in ricoh terms

 

Well for the most part at least - not tested it with ref to scan to folder or email when it is having issues
