imiddleton25 Posted January 14, 2010 Posted January 14, 2010 has anyone had a problem downloading exams results into Sims, get an error about needing version 12 Capita are blaming the Boards and guess what the boards are blaming Capita non of which get the exams officer off my back anyone got a suggestion

I tried changing the file to version 11 as some people have done on supportnet but this doesn't work as some of the students now have Xs which are not a valid value according to Exams. Either the base data is broken or they were introduced in version 12 of the file.

We contacted our support through the LEA Support and they gave us a patch to apply thorugh dbupgrade. Ok so I applied this patch and still the results will not import, I have been given a second DB patch to apply which I will try tonight. We are on the latest Autumn Upgrade. I will post back the results of applying this second patch. PM me your email and I would be more than happy to forward the patch's to you.. although I would advise contacting your LEA support first to see if they can help. Chris
Sivadam Posted January 14, 2010 Posted January 14, 2010 If you are on Autumn Upgrade then you should be using Version 12. This is the version that all exam Boards should be using. No good blaming the MIS porividers for this! There was enough documentation about it in August re. GCSE imports, which were in Version 11 then! We could not upgrade until we were certain we had all the results! Get on to the relevant exam board and demand the correct version! Which Boards are involved? Our imports worked ok yesterday with AQA!

DMcCoy Posted January 14, 2010 Posted January 14, 2010 The files are version 12, exams is 6.74. Apparently the error "Result not in range defined for the Aspect" is produced when trying to import. Files are from Edexcel.

It was only released to us a few days ago, and I don't want to change until the census is complete. There is nothing listed in the release notes for the update relevant to Exams.

I stumbled across a post in the xams forum regarding the EXams Organiser. We are currently using Version 6.76 This was posted Affected Products Examinations Organiser -------------------------------------------------------------------------------- Notes Tools | Import Results & Enrolments Results import process in this version release does not support version 12 results files Exams Organiser cannot import version 12 results files. -------------------------------------------------------------------------------- Advice Exams Organiser 6.77 and upwards will be able to process Version 12 results files, which are now being supplied by the Exam Boards. Therefore, if you do experience this message, then upgrading to the Autumn Update 2009 release of SIMS .net will allow a successful import to take place. I contacted our LEA who informed me that the Autumn Update is not the Autumn Upgrade. They have released the Autumn Update 2009 for me to download and Apply - Can not try this until later on but will post back if this rectifys the problem.

DMcCoy Posted January 15, 2010 Posted January 15, 2010 Ah, I wasn't being quite as careless when checking versions as I thought. I looked at the machine, it has Autumn Main on it with 6.74. I read the autumn main release notes that say it comes with Exams 6.74. I stopped checking then. In actual fact autumn main came with 6.76 but the notes are just wrong.

MattMitchell Posted January 16, 2010 Posted January 16, 2010 (edited) Changing the 11 to 12 is only part of it - i've got a guide to how to edit each of the four files to convert - I'll post it on here later. Exam boards are meant to supply v12 format files now - if they're arriving in the v11 layout, then it's a problem with the board and not sims! Slight edit: I misread "results" as "basedata" (as you do...) - I'll post the basedata guide somewhere anyhow as it's useful! Have to check on changes to the results file formats, but the frustrating thing for me is that EO could just handle both formats and then there'd be no problem in the first place! Helpfully I can't import the basedata either as that's broken too. I do see there is a patch for that which I'll have to request on monday.
MattMitchell Posted January 17, 2010 Posted January 17, 2010 OK, here's how to convert format 11 basedata to format 12: - Rename the basedata files with a later extension – I use X12 for clarity - In the first line of every file (S, O, C, L, D) change the version number text 11 to 12 at byte positions 25 and 26. - The S, L and D files need no further change. - The C file needs an extra 3 spaces inserted after byte position 55 on every C5 line (because the single character at byte 55 in version 11 has four character spaces in 55 – 58 in version 12) - The O file needs several changes to every O5 line: a) Insert 7 spaces to move byte 23 to 30 b) Byte 80 result type has moved to byte 93, so insert 6 more spaces to move byte 87 to 93 c) Byte 85 has moved to byte 110, so insert 12 more spaces to move byte 98 to 110 We had problems with Edexcel BTEC data files, as they were sending a separate set of files for each course, rather than lumping them into one file, so that there was a .X01, .S01, etc file for one course; and a .X02, .S02, etc for the other. If you have the same situation, apparently the thing to do is to make sure that only one set of files at a time is visible in your EXAMIN folder. If I ever manage to track down a V11 version of the JCQ formats, I'll check what needs to be done to convert v11 results to v12, and maybe even write a script/vba/something to convert it if you're lucky!
