Ai for condensing student data

My Head has an idea that ai could be used to condense send data into summaries for teachers.  Apparently one of the problems in teaching SEND students is that there's so much data that it's impossible for teachers to know their send students very well nor how they should adapt their teaching. 

 

I'm not sure there's an off the shelf ai that could handle this kind of thing and building/vibing our own LLM/system is probably impractically costly and way out of our skillset .  This sounds like an actual product. 

Anyone seen a product that sounds anything like this?

Google's NotebookLM, now rebranded (as of yesterday) to "Gemini Notebook". You can give it a bunch of documents and then ask questions of that material. You can test for free on a personal Google account, but be wary of giving that version any personal data of pupils. If you have a Google Workspace for Business / Education domain you get a version that doesn't re-use data. One fiddly issue we found is that you can give it a Google Drive folder of items to process all in one go, which is great, but if any of those items get updated it won't automatically update its processing. I did look and see if options to to do updates / re-processing are available via an API, but there didn't seem like a good option at the time (might have changed just recently).

Assume AI is a fancy search engine, ask it questions about the student, it'll then search all the data and return info. Eg we're going to the zoo, and issues I know know about my students? it's very hot, which students have known issues?

Assuming you are using an AI service with the appropriate data handling contracts in place, this is all about prompt engineering, and quality control and review of the output by the SEN team.  Apparently if you look in the right places (probably facebook or discord) there there are SENDCOs swapping prompts  that  get this sort of thing done.

If you're office 365 then CoPilot can be used to query against documents in your tenancy, and as a school you should get the corporate CoPilot data protection agreement. (I'd have thought gemini would have similar features if your a google school, but haven't checked)

Gemini Notebook would be my first test for this if you have a Google installation in place. As mentioned, test with dummy data before you get the legal requirements in place.
