Delanos Posted October 12, 2023 Posted October 12, 2023 Hi all Wonder if anyone can advise - I dont have access or use the following software apart from SIMs - the main person is off on maternity. We have had new pupils to our school this year arrive and they immediately have dinner money debt on IMPACT. Cunninghams have been contacted and they have stated that there has been a change of IDs in SIMS- not the standard student IDs or staff codes we use but the IDs in the background. They explained it to me that:- For example:- Person A is put on SIMS - they are given or their record is given an ID of record 1 Person B is put on SIMS - they are given an ID of record 2 These have now become mixed so that ID1 is with person B and ID 2 is with Person A They have said we have had no end of year carried out in 5 years so they cant track back to see when this changed Also said that we will just have to deal with them on a case by case basis when someone brings it up and we will have to manually work out the money difference for both accounts. Also biostore which we apparently also use isnt supported by them in the typical fashion as its legacy software Any input greatly appreciated, Im just ringing ESS as Cunninghams say the problem is on SIMS but i cant see how
howartp Posted October 12, 2023 Posted October 12, 2023 The attached SIMS report will pull out the relevant (hidden) fields for you or a colleague to look at, if it helps - i'm presuming Cunninghams are using the person_id field which is what it's designed for. Something smells fishy here though; SIMS won't change that ID throughout the life of a students' record so I'd be challenging Cunninghams on their processing of it if they reckon there's been a mixup. SIMS > Reports > Import > (expand ZIP) > Import.PersonIDs for Impact.zip 1
Delanos Posted October 12, 2023 Author Posted October 12, 2023 Thanks so much for the speedy response and the report which ive now used. Ive just called Cunninghams back and asked how they process these IDs - I've now been told it may be a payment ID?- but they are going to check with original responder and come back to me Ill udpate this case if I get a resolution just in case anyone stumbles into the same thing later on. Thanks again
StephenPink Posted October 12, 2023 Posted October 12, 2023 Just an FYI Cunninghams definitely changed their preferred ID - feel like it was on admission number, then UPN and maybe changed again due to issues every rollover? Will try and confirm. 1
Delanos Posted October 12, 2023 Author Posted October 12, 2023 thanks so much - all our tills went down today too so something is really up here
Delanos Posted October 16, 2023 Author Posted October 16, 2023 Hi all Case closed Absolutely nothing wrong with data on SIMS turns out the lack of an end of year procedure in their own software was corrupting stuff. Thanks for feedback which helped ascertain SISM was not the issue 1
StephenPink Posted October 17, 2023 Posted October 17, 2023 Yes that's exactly what we had last year - their year end had changed, without informing anyone. They moved us over from UPN/Admission Number to Payment ID to link the accounts, so that there wouldn't be problems again with rolling over (something to do with UPN/Admission Number not existing prior to admission and their system getting very confused) 1
