Hi,

 

So the head started at a school and wanted her own email address '[email protected]', but the school also has '[email protected]' already, so she wanted access to both of these

 

I created her name@.... account and set the head account to forward any emails to the other account.

 

The problem is she is not at all IT savvy, she sometimes opens one of the accounts for the emails, sometimes the other for her Google Drive files. Sometimes she tells people to use one address sometimes the other. I have tried to explain to just use one but that doesn't seem to work.

 

So thinking about this, perhaps I should have just set the head@.... account up with the alias of name@..... Then she could have logged into either from gmail, calendar, Google Drive etc and they would be the same account.

 

Just wondering how I can now move the name@... account to being an alias of the head@ account. I haven't tried yet, but guess it might give an error that the user is already created.

 

Any other options.

We have the same setup here.....

She logins into google using [email protected] and can send and receive emails using both emails.

 

We do it like this.

 

Create a gmail as you normally would and give that to the head.

 

Create a google group (email distribution- [email protected]) and add the head to that group (the head can now receive emails sent to that email.

 

You can use GAM for the next step i think, however we just perform the next step on the users account once they have logged in.

 

Gmail - settings - send email as...... enter Google group ([email protected]) send verify email.

 

They should receive an email to their [email protected] account.

 

once verified, when they click on "compose" they now have the option to "send as" either emails.

 

you might also want to change the setting in gmail to allows respond as the account the received the email. under accounts or inbox i think.

Another way that might work for you, at least to begin with:

 

Google Admin > Apps > Google Workspace > Gmail > Routing > Email forwarding using recipient address map. Create a rule that that maps the head@ address to the name@ address.

 

Note that that would duplicate messages sent to head@, so you might only want to have that in place temporarily whilst you get the head@ files, etc. transferred to the name@ account as needed. Once everything is available from the name@ account, remove the head@ account and add head@ as an alias to their named account.

 

I would recommend that they use name@ as their primary address, with head@ as an alias.

 

edit: I forgot that there is an option in receipent address map rules to not deliver to the original destination. That would prevent incoming messages from being duplicated unnecessarily.
