Location of files saved in Google Classroom assignments

Hi there

 

We have a student who uploaded some files as part of an assignment which we would like to delete.

 

The teacher could see these files via the assignment itself and also in the Classroom Drive folder.

 

The teacher then deleted the files directly from the Classroom Drive folder but when they go back into the assignment, the files are still visible in the student's 'handed in' part of the assignment.

 

So I'm just trying to understand the relationship of what the student uploads and where that actually is?!

 

Do the files exist twice (once in the Student's Drive folder and again in the Classroom Drive folder) either physically or via sharing rights that are added when the files are uploaded to the assignment?

 

How can we remove the unwanted files from the assignment itself - is the only way for the student to do this from their side of the assignment?

 

As Admin, is there any way to see inside the student's Drive folder?

Submitted files are stored in the relevant Drive folder for that class, and are owned by the class teacher. The student will see a shortcut to their submitted file if they navigate to the relevant Classroom folder in their My Drive.

 

If the teacher deletes a file from the Classroom folder, it goes to the bin. Whilst it's in the bin, it will remain available within Google Classroom as before. Once it's deleted from the bin, it will then disappear from Classroom, although it might still appear as an unknown file which can't be previewed.

Sorry ... I'm back!

 

So when I delete a file from the Class Drive it gives me a pop up message to say the 'file will be removed from view. Collaborators will still have access'

 

If I then have a look in the Trash ...there is nothing there - so now I'm wondering if all that's in the Class Drive is a link to the file shared from the student and not the actual file itself?

 

Not sure whether I should be able to see this file in the Trash ...unless there is a different Trash can somewhere?

I don't really use Classroom, but it was my understanding that you should never add or delete Classroom files via Google Drive, as it can cause some odd issues and to do all the editing from in Google Classroom.

 

I could be completely wrong as I don't ever use it.

Yes I also recall seeing this and would be wary about it - but there doesn't appear to be any way of removing files uploaded by student from inside the Classroom itself - hence why the teacher went looking in the Class Drive folder I think!

 

It's just a bit odd as to where these files all 'live' ... I might have to have a little experiment inside a Test Class/Assignment.

It may come down to who the owner of the submitted copy of the file is. Testing it this morning, I deleted the file as the owner.

When viewing the submitted file in the Classroom assignment, open up the details panel for it from the 3-pips menu within the preview options. That will show who the owner is.

In this same screenshot, a file I deleted earlier is still listed in the student's list of submitted file, only as an Unknown Drive file. So it appears to hang around as a broken file.

 

If the student unsubmits, removes the broken file and then resubmits, it tidies things back up again.

Yes, I am seeing a similar thing here ...but of course once the file is deleted from the Class Drive that's it and I lose sight of it.

 

As I am a 'teacher' in my Test Class I can however still see the file in my 'Shared with Me' list - so I guess that's related to the pop up message about Collaborators still being able to view once file is removed from the Class Drive.

 

So ...I'm thinking now that the only way to remove this file for everybody is for the student to delete it from their side of the assignment. Not ideal ..but it would get the required result!

You could use Google Vault to search for and view files in a student's account. If you want to actually do anything with the file (like adjust it's sharing permissions) then you'd need a third party tool (e.g. GAM).
