Email Signatures?

Curious to learn how you manage email signatures for your school.

 

We are looking to apply some consistency and I have explored Exclaimer so far, costs are quite significant though, so I wondered whether you are using an alternative system or have a set policy that all staff adhere to?

We use CodeTwo (https://www.codetwo.com/email-signatures/), similar to Exclaimer, for our O365. Works really well for us, all configurable via their web app allowing for dynamic signatures, pulled through from AD

...with a template per school.

 

Staff are sent a schoolname.signature.email link (protected with an access code to deter enterprising students). Once there, type in name, job title and email address and it'll generate a signature for pasting into Outlook (or will email you it).

We use GMail (Google Workspace), we have a script that runs nightly and uses GAM to set every user's signature to a given template, with various keywords (name / job title / etc) substituted in.

We use this but it confuses people because they don't see it on the bottom of the messages or the sent items. Our helpdesk get loads of questions about it...

It's basically a loop that goes through a list of staff (we have that list in CSV format, read in via Pandas) and sets the signature for each one via a GAM command line.

Same. We sent out a blanket email letting everyone know that it does indeed exist and will show to the recipient. Not that they read it of course. In my opinion worth it rather than a paid solution.

I always find it amazing that Office 365 can't do this nicely.

 

We created a signature template in Microsoft Word with image links hosted on our website. We then saved that as an HTML file then sent out the link to everyone.

 

All they have to do is copy and paste into their signature files or we can do it for them remotely (if using outlook client, it saves the signature in their appdata folder so can do a c$/users access)

 

I looked into autmated solutions but all cost over 1k a year!!

Has anyone found a way to only do this once on initial email? rather than every reply...

I added an "Except if..." rule that checked if the subject or body includes a large, unique part of our signature. That way if it is already in the message, from the first time, it won't be applied again.

Cool, just seen I had already done that with our seperate disclaimer mail rule
