GSUITE - Notifications (by email) of shared documents, calendar entries, etc...

Forgive my ignorance, but I don't use Google and I have been asked to set up the following...

 

There are 2 versions of Google going around the school, one that my Head Teacher 'made up' on his own and one that I 'created' for the school to use Classroom during lockdown.

 

The Headteacher's version has just the teachers and he used our external email provider's email address to sign them all up (mainly the SLT use it for SLT stuff, but it alerts them to notifications via the external email) and they like how it works... One of the SLT will create a document and share it or a new calendar entry and an email will notifiy all the other SLT and/or Teachers.

 

Now I have to persuade them to ditch it and use one true school Google account (to rule them all) and it makes perfect sense to me to use the main one I created.

 

But if they are not signed in to their Google account, how do I get notifications sent to their external email (we don't use GMail)?

I ran into this, as we have our G Suite set up with the mail portion disabled, as we didn't want to migrate our email to Google.

 

We didn't find a way, I'm afraid. Notifications only work if you're using the GMail for that domain. Our lot just got used to checking when they needed to.

If you're using Exchange for the same domain as you use for Google, you should still get notifications come through to your Exchange Server.

 

That's what I have at one site. It's not being used much atm, but test stuff sent went to the school email addresses. (I also disabled GMail).

No, unfortunately we are not running exchange and the 2 domains are very separate (one belonging to an external email provider and the other belonging to us - created just for GSUITE).

 

Thing is.... I've not really got a problem with turning GMail on for the Admin and Teachers OU (they won't even notice I'm sure, but we can tell them it isn't to be used), so there must be a way to route emails from GMail back out to our external mail address?

 

EDIT: There must even be some kind of rule I can enforce in GMail to accept only one email domain and route it out to another?

Well it seems to be working from this setting so far!

Seems a bit quick and dirty, but I've never been one to complain about that sort of thing...

 

EDIT: There may be better ways in those links, but for proper routing I would need all sorts of info from our email provider which will be a pain and I really just want a quick win for now... :(

I'd have thought that you'd only need a server address or IP address for your email provider. If you have that, you'd add that as a new mail host in Admin > Apps > Gmail > Hosts. With that added, you could then make use of that in a rule in Admin > Apps > Gmail > Default Routing. You could set up a rule there just for one test user to begin with, to see what's what.

 

Granted, it's been a few years since I set up our Google domain, back when we were using Exchange still, and I do remember that notification emails from certain Google apps behaved differently from others in terms of deliverey to Exchange or Gmail.

Yes, I might need to a look at it in more depth when I have the time, as I don't really need all the spam that might come from GMail being redirected into my teacher's mailboxes too!

 

Will really need a rule that only redirects mail from one domain.

If they don't use that email address and it's not advertised, its incredibly unlikely to get spam. Gmail spam filters are the best around too. Certainly more likely to be spammed in an Exchange inbox!
