I've now found some time to start looking at all the different O365 apps after migrating from our old mail client last year.

 

Via the SharePoint admin center I can see a few test sites including one that cannot be deleted with primary admin "Company Administrator".

 

This site is reportedly using over 15Gb of space, so I've been digging around as AFAI was aware no one was using "sharepoint" - I've not added the licence for it and it should n't be appearing as an app for anyone.

(logged in as a test student they can only see the ones I've currently assigned; Calendar, Outlook, People, Tasks and Whiteboard.

 

On entering the sharepoint site I click on attachments and see a list of files!

How are these getting populated?

 

Is it stripping off every attachment from emails?

 

Under my test user whilst the Sharepoint APP does not appear to be one they can use, if I go to the main sharepoint URL I can see the attachment list and it appears to let me view all of them!

 

What's going on?

When clicking on file details does it show the author of the file? Then have a talk with the user to find out more information on what they are doing.

When you click on the three dots (from memory) can you see the file properties. Who uploaded / edited the file last?

Yes I can see lots of students doing this, what I don't understand is how they are doing it?

 

Could they be getting confused using One-drive and somehow sharing it wit the whole organisation?

I'd say organise a time via their teacher / tutor where you can sit down with one of the students and see what they're doing. Let the student know they're not in trouble, you just want to know what they're doing.

I've just tried a test email - chose attachment - then browse cloud locations, chose a file from my OneDrive and once it was attached to the email it states:

 

"Anyone can view"!!!!!

 

Could that be it?

IIRC, isn't onedrive for business on 365 just a frontend that stores everything in sharepoint?

 

Yes, also Teams and Groups from what I remember.... for example

Made some changes to OneDrive settings and thought that might stop these random files appearing and 5 minutes later another one appears haha

Caught up with a student who explained how he emailed in from home last night a piece of work he'd been finishing off.

 

He said he just chose the attachment option and pointed to the file, but for some reason it's put the document in the attachments folder on our root sharepoint site.

 

I've asked him to see if he can recreate the issue over the weekend.

 

I'm still pretty confused.

 

I've removed the "attachments" folder in the Documents of the sharepoint site as well.
