OneDrive Setup - How Do You Do It?

Hi all,

 

Looking at setting up OneDrive for our staff and students but wondering how others had got on and what approach / level of adoption you are taking? A little bit about our setup currently:

 

• We are currently using Roaming Profiles for staff & students
  
• Local Profiles are deleted at log-off
  
• We enforce 'OneDrive' Files on Demand
  
• OneDrive is currently set to the default location (Local Profile > OneDrive - Tenency) which is cleared at Log-on
  

 

This seems to work, everyone has access to their OneDrive documents within about 5-10 seconds of logging on. My queries I suppose are:

 

• If anyone is doing the above, how are you ensuring large files are transferred before log-off. My primary concern is if saving to a Local Profile (that is cleared) there is the small potential for loss of work.
  
• If people are redirecting the full Home folder for staff and students any info you can provide on how you went about this, moving files across, how you syncronise from a share (which I believe is a limitation) would be very much appreciated.

Very brave to use roaming profiles anymore. In terms on ensuring every file is synced is more of a user training issue. You can run a command line on logout to force all files to stubs, I'm not sure if it will prevent log off until sync has finished.

We have ancient PCs, 8+ years old in some IT rooms, so not only does it take up to 5 minutes for OneDrive to set up, it also takes a little while for it to upload saved documents before the kids shut their computer down, so maybe once a month we'll get one saying that they've not got the latest version of their work. We can use Impero to work out which PC they were last on, and either tell them to use that if it's available, or copy the file over to their current PC. Teachers are told to advise students to try and use the same PC each lesson. As we (slowly) replace the PCs things should improve.

You can’t guarantee the files have sync’d, but you can teach kids to check the sync status icons. Also, thanks to a policy of requiring class seating plans, students always use the same desktop and by extension we require them to use the same laptop if the are in a room serviced by one instead.

 

We let the profiles remain initially and delete after 40 days.

 

In practice it seems that OneDrive folders were not removed by the in-box windows profile tools, safeguarding any unsynced files form later recovery. Haven’t checked on that recently.

 

We used the sharepoint migration tool to move folders over.

 

We used the old redirection instructions to redirect known folders to the local OneDrive folder. These instructions have now been replaced with known folder move, but we still use the old method. It’s probably in github for the docs.microsoft.com site if you go looking.

 

There is a problem with GPP delivered shortcuts duplicating, but with customised links in sharepoint we have managed to remove the need for those.

What's the advantage of moving from a local multi gigabit/sec file server to a remote multi megabit/sec file server which doesn't even use a real file system, so your application can't flush the cache to make sure things are saved?

In our case, not having to spring £20k for another SAN shelf.

Just spend an extra £xk per year over y years for faster internet.

 

Using rclone to encrypt and backup to infinite free gdrive storage does seem like a good idea though
