Greetings all!

 

As above, no one around to give a comprehensive guide at the school due to the holidays / no one else knowing!

 

I've been piecing elements together from online resources about the process (http://simspublications.com/968574/assets/eoysecdetailed.pdf) - I'm still slightly in the dark as to whether there is a big "Rollover" button to push once all prep is complete or if it just naturally occurs due to the passage of time!

 

Any information / advise would be very much appreciated.

When you create a new academic year, the date it starts is when everything you have set up will "rollover" using the information you provide the system beforehand about where students go. What have you set up so far?

You don't say if this is for a Primary or Secondary school.

 

For primary:

Setup new academic year (Routines > School > Academic Year)

Setup next academic year pastoral structure ( Focus > School > Pastoral Structure > Next Academic Year Structure)

Run School Promotion (Routines > School > Promotion)

Deal with leavers (Routines > Pupil > Leavers)

Depending on how the new starters have been added you will either have to admit them if sitting in a pre-admission group (Routines > Admission > Admit Applications) or go back to the Next Academic Year Pastoral Structure and ensure the new starters are assigned to the correct year group (right click Pastoral Structure, choose Members, and tick them into the correct Yr), and Reg group (right click on correct reg group, choose Members and tick them into the class).

Completion thus far:

 

1. Create the new academic year

2. Set up the pastoral structure for the new academic year + Pastoral promotion mapping

3. Add intake and admission groups

4. Import Admissions and Transfer Files

5. Change the status of applications (marked as admitted - noted from reading around that this is debatable practice).

6. Transfer the curriculum and timetable to SQL

7. Apply the timetable to the new academic year

Help - for the first time in 10 years I have had to rollover a timetable early, I have done everything that needs doing and all students have new timetables. The only issue I have is that I cannot see lessons in cover or add student notes to registration. I assume I have to apply the timetable, the only problem is we are moving from a 4 period to 5 period week. I was going to apply the timetable and the end of Friday. So hopefully not to cause a problem this week. Will this work ?

As you are changing the cycle (4 periods to 5 periods) you will need to 'Export Timetable Cycle to SQL' before 'Export Curriculum and Timetable to SQL'.

Make sure you have followed the promotion routine for the curriculum in Nova (the tick and smiley face thing) and that your classes are named slightly different eg prefixed with an extra letter usually. Then get ready for all the staff asking were all the mark sheets have gone :)
