JRA Posted November 14, 2018 Posted November 14, 2018 Hi all - as IT we've never had to do this before, but a huge turnover of admin staff means the knowledge of this has been lost and it's fallen to me to discover. We've got most staff in SIMS who, when you find them in System Manager, have "Employee, User, Agent" in their SIMS Role(s). However, some staff only have "User" in there - these are usually agency staff if that;s any help. I'm wondering if anyone knows what needs to be filled in or ticked in SIMS for staff to get the other two roles? Thanks anyone!
hiphopamus Posted November 14, 2018 Posted November 14, 2018 The staff with just "User" will not have been linked to a staff personnel record when the account was created, this is necessary for SIMS to know who they are. 1

panosthegreat Posted November 15, 2018 Posted November 15, 2018 (edited) I'm not 100% on this... but to link the user accounts try: Focus > System Manager > Manage Users Set the 'role' to any, and click search Once you've selected the user account in question by double clicking them, the 2nd part of their profile page says Login Details, and there's a magnifying glass next to the Username field - try searching there for their account to link them together Edited November 15, 2018 by panosthegreat

I think you've got to either get a custom patch from Capita to merge accounts or simply make a new user account.

Cheers again. Create a personnel record for the user and then run the dbdiagnosis script associated with patch 18632, then the patch itself. Your SIMS support company will be able to provide you with the details
Sonic007 Posted November 19, 2018 Posted November 19, 2018 (edited) If a user is already created as solely a user then when you click on Personnel and type their surname it should find that user as they already exist, (just as a user and not in personnel). Sims can then pull the two together. A User who just needs access to Sims but arent employed by the school can be created just as users. Users who are staff and also Sims users should be setup through Personnel where youll need to specify atleast the name, DOB, and an employment start date. Edited November 19, 2018 by Sonic007

coolhands Posted January 8, 2020 Posted January 8, 2020 I've just had this problem with 3 new staff that I added rights to via system manager yesterday. Can anyone enlighten me how this happened? I seem to have added them all and it has created them as simply 'User' (not Employee) and not linked them to the HR record which I think was created at the end of last term (dec) by someone else. They could then log on but not take registers until I tracked down the fact that in Sys manager I could see the two profiles (if I went to create new) - 1 I created yesterday, and the other a 'full' correct profile. I had to make the User one inactive and then click add new to search and match them up & select the proper HR full record. But how did I miss this yesterday? Annoyingly I can't remember my actual steps as I did it on automatic pilot but I can't see how I wouldn't have clicked New and therefore it should have seen them and I would have linked to them. Did I do something wrong? Also anyone kow how I delete the now inactive record as when I search staff>delete it only sees the full record I don't see the (now Ex-) User anywhere. Or will the patch delete the unused profile?
