FN-GM Posted August 16, 2018 Posted August 16, 2018 Hi, I am looking to add a warning to the top of messages that come from external recipients something along the lines of "Causation this message originated from outside of the organisation". I can't seem to find any options to do this. Can anyone please confirm if this is possible please? Thanks
ZeroHour Posted August 16, 2018 Posted August 16, 2018 I am not sure if you can in Gmail, o365 can use mail tips I believe but I cant find a similar setting in the admin of GApps. The closest I can see is: Show warning prompt for any click on links to untrusted domains Gmail clients will show a warning prompt when users click on any link in email to untrusted domains (does not work on IMAP/POP email clients). If you don't activate this feature, warnings will only be shown for clicks to untrusted domains from suspicious emails.
FN-GM Posted August 16, 2018 Author Posted August 16, 2018 Thanks, This recent incident (or should I say attempted) didn't involve any hyperlinks so that wouldn't be any use in this instance. It was a case of someone opening an email account in someone elses name and impersonating them. Thanks
ZeroHour Posted August 16, 2018 Posted August 16, 2018 There is an other option of: Protect against spoofing of employee names Protect against messages where the email sender's name is a name in your GSuite directory, but the email is not authenticated by your company's domains or domain aliases. But I dont think thats what you are looking for either sadly. 1
FN-GM Posted August 17, 2018 Author Posted August 17, 2018 Its certainly worth a look at though! Thanks
gh5000 Posted August 17, 2018 Posted August 17, 2018 How about prepending a tag eg {External} to the subject? 1

Thanks Not sure if this is what you need? https://support.google.com/a/answer/7380041?hl=en It appears to warn on an attempted reply, rather than on receipt but I have seen it work here. What I wanted was the ability to have a whitelist to avoid the message from known emails/domains, but I think I'll have to submit that as a feature request. Note it doesn't trigger if the email is in the Contacts, so depending how that gets populated, it might be a one time warning.

When I click on the links: View emails affected by spoofing settings View unauthenticated emails I get "access denied, please contact your admin", but that's me! Any idea why? I see other safety features are for Enterprise only, but this is not clear if this one is or not. Edited August 17, 2018 by Ditto

The language of the email wasn't consistent with how the person speaks in real life. The email address also gave it away.

mavhc Posted August 17, 2018 Posted August 17, 2018 Imagine the chaos that would occur if 2 people on the planet had the same name. What about adding a label to every email automatically, is that possible?
gh5000 Posted August 18, 2018 Posted August 18, 2018 I'll say it again because to me it seems like a good solution that solves the original question....prepend the subject of any external email with the message you want.
Edu-IT Posted August 18, 2018 Posted August 18, 2018 I'll say it again because to me it seems like a good solution that solves the original question....prepend the subject of any external email with the message you want. Doesn't always show the full subject (or clearly show) on tablets, mobiles etc though particularly with how long it would be?
TechMonkey Posted August 18, 2018 Posted August 18, 2018 How about prepending a tag eg {External} to the subject? I would go with this option, in fact it is the option I am considering. That way it is always seen, what ever the device and there can be no doubt about whether it is an internal address or not.
Primus Posted August 18, 2018 Posted August 18, 2018 We already have this setup. The language of the email wasn't consistent with how the person speaks in real life. The email address also gave it away. Are you saying the external recipient warning didn't catch this particular email?
mavhc Posted August 19, 2018 Posted August 19, 2018 Will you be removing {external} from outgoing messages? Otherwise you have Subject: {external} Re: {external} Re: {external} Re: {external} Secret password!!!

Otherwise you have Subject: {external} Re: {external} Re: {external} Re: {external} Secret password!!! I know I'm super late with the reply but you can prevent that by saying Apply to all inbound messages where the subject doesn't contain {external}. Action: Prepend subject with {external} 2
WCHS_Panthers Posted March 5, 2020 Posted March 5, 2020 (edited) FN-GM Try this....This is how I have it setup Apps>G suite>Settings for Gmail>Advanced settings scroll down to Routing and click "Add another". I uploaded a pic of my settings..

Edited March 5, 2020 by WCHS_Panthers
