Hi,

 

What data should schools be transferring to new schools, I have a couple of scenarios..

1. Primary school pupil in year 6 transferring to Year 7 at secondary school

2. Primary school pupil in year 2 transferring to a different primary school

3. secondary school pupil in year 8 transferring to a different secondary school

I think they cover the most common sort of transfers.

So I know that from our MIS a CTF is created and that contains the pupils school history, attendance, assessment, name, dob, address, parent contact information, etc. Then we also send on a paper file of information such as reports, data collection sheets old and recent (my view is that these should be shredded when the data has been inputted in to the MIS), and in some cases we have had primary school pupils transferring in to our primary schools and the previous setting has sent over their exercise books which we have then sent on to the secondary school. We also send on the admission forms and some other paperwork which I can't quite remember what that is at the moment.

 

Any advice would be greatly appreciated

All we tend to receive from our feeders schools is the CTFs, and I think that's all we send on for any in-year departures too. I think we send more info on our outgoing Year 11s to their post-16 place though.

 

As for retention of data collection sheets, we keep all these even after input into SIMS. This has been useful on a few occasions, either because we have mis-entered information and needed to correct it, or because the parent has challenged us for not acting on something so we needed to prove we hadn't been told it.

We get a paper file from our direct federated infant school as well as their CTF. When we get a pupil from external we usually only get a CTF, we sometimes then get a paper file if there is something remarkable about the pupil - usually if there is significant SEN or Pastoral input.

 

When we send kids to senior school we only send CTF as a matter of course. Kids with SEN or Pastoral support transferring locally: the pastoral workers from all the local schools have a big meeting and do paper file transfers between the schools then.
