Moving all our data into Office 365

Hello everyone,

 

We are looking to move all our file server data into Office 365 over summer period. I have everything setup for SSO and seems to be working quite nicely for the personal onedrive client. My query is how on earth are we supposed to map the Shared drives? I have seen the nice powershell script knocking about that uses WEBDAV but have seen some concerns over the speed and reliability of this.

 

How can I find out the site and list IDs to use the odopen:// command and is it possible to get this mapping without any user interaction?

 

Also for anyone currently using 365 in this way, how have you setup the global admin settings? I am concerned about users being able to download bulk files to personal devices that are not secured. How do you mitigate this risk? The licenses I have been quoted for Azure premium are expensive!

IamCloud Cloud-Drive-Mapper is installed on all the computers, it will map O: drive to user's OneDrive and S: drive to the root of the SharePoint site (https://mycompany.onmicrosoft.com).

I thought Azure AD P1 was a justifiable cost given the potential benefits of the solution and risks if it goes wrong.

 

We're using that and looking down access to domain machines - all staff have access to a laptop to take home if they need it.

You need the machines to be Azure AD joined (optionally hybrid joined to your local domain)

They do mention that you can set up an extra level of security if you have an MDM, including Intune, but it's not a requirement.

 

Conditional access policy is only available in P1 subscription or above.

You should be able to set it up for files on demand to access SharePoint and OneDrive through Windows Explorer without any additional products. I'm having this set up for me, but there is a lot of documentation around.

I would use the sync client but mapped drives as webdav is a poor experience. If you only use Office you can save directly to SharePoint Online without the sync client..You really need EMS to protect the data. You can lock your tenant to a particular external IP but you'll get pushback as people expect email on the go.

I’ve managed to get the OneDrive to auto configure with the GPOs and written powershell to map the shared folders as well. Just need to keep going with it and hopefully find a reasonably priced way to lock down usage from home. We have been quoted £960 a year for the P1 license so may just have to suck it up.

We have deployed CDM on all the staff & student computers and we have not come across any technical issues, the only complain we have so far is if the user's device has no internet connection (school trips, on flight, on train etc) then they cannot access the contents from the Onedrive/SP. All the staff here has a Surface Pro and they take the devices outside the school.

 

We are now deploying OneDrive New Syn Client, which gives an option to make the files offline so that it is accessible when not connected to the internet and will sync back once connected.

 

 

Are there any speed issues?

I have tested opening same files from both CDM & OneDrive NSC, and OneDrive NSC seems to be much quicker to open/save the files.

 

 

How did you set up the Sharepoint site to map for departmental shares?

From CDM admin portal choose select SharePoint site (https://mycompany.onmicrosoft.com) and assign a drive letter. This will generate a license code (.reg) which needs to deploy it via GPO.

Our SP has been setup like this:

mycompany.onmicrosoft.com - site root where CDM maps the drive (s:)

mycompany.onmicrosoft.com/biology - subsite for the Biology (s:\biology)

mycompany.onmicrosoft.com/physics - subsite for the physics (s:\physics)

 

Each subsite has two documents library:

default documents library where both students & staff has read/write access (s:\biology\Shared Documents)

staff only document library where only staff has read/write access, student no access (s:\biology\staff Documents)

How does the OneDrive client behave? For instance if you have pupils/staff roaming around the site logging into different computers, does it download all the OneDrive files to the computer when they login? Or does it only sync files as they are opened?

It will sync/make it offline when opened.

At the moment we have Cloud Drive Mapper that simply maps the drive to the OneDrive & SharePoint for the students. For the staff we are using both CDM & One Drive NSC (soon we will phase out CDM)

Apparently there is a way to accomplish this with Files on Demand. I haven't got all the details yet but when I do I will come back. Doesn't map a drive but makes the folder available on the side bar of Explorer.

But that GPO doesn't allow you to set what folders someone has. The method we have been informed of will allow us to set an actual folder direct.

Would love to see how people are achieving this. We absolutely need this in place over summer, yet my head is aching with the amount of brick walls it's hitting.

So we're being forced to scrap mandatory profiles as a result to start with; not a massive problem but still, more work.

Getting the right client installed at all seems to be a pain. It seems a piece of cake for anyone on a static computer but when pupils move around constantly, profiles are deleted on restart/shutdown, and OneDrive setting up again is a huge ballache.

This seems to be far more complicated than necessary and don't want to be forced to go down the routes of 3rd party stuff

Technet is full of the usual morons marking people's questions as answered when they're not even close, and the conversation always seems to hit a dead end on this topic everywhere else including here A few people "have it working" and then go silent! The big issue would appear to be the fact that it will only install per-user, and can't be installed on a per-computer basis.

It is a little off-topic but we successfully migrated all of our shared drives to Google File Stream.

We achieved this by: 1) sending out file stream via MSI 2) telling staff to migrate their files by dragging and dropping by certain date 3) turning off the shared drive and using the G drive.

It works the same as using the old shared drive, but staff need to log in once on each machine, I would expect the microsoft version of this to be even more simple because they wouldn't need to log in again.

Thanks for all the info Bicky greatly appreciated. I've taken out a 15 day trial with I AM Cloud and have got a couple of departments using it. Just waiting on feedback from them.

Seems really backwards to have to use IAmCloud or similar with FoD just *there* but so close

Does anyone know if it's webdav based like OneDriveMapper?

I though all the 3rd party mappers were webdav reliant. FOD seems to work it's just you really need to be 1:1.

We are in a similar position having issues with oneDrive installing on user logon. It works but there can be a 2/3 minute delay and a Windows explorer restart before the sync client opens with the shares. As other posters have said would be ok in a 1-1 environment. I am loathed to buy any 3rd party products as Microsoft should have sorted this out. Maybe we will have to delay out migration till next summer. Considering just putting some less critical shares up there to start with and see how we get on

I wish we could get away with the cloud mapper but the speed issues make it a real problem for us.
