Hi all,

 

We've been asked to change our staff drive (shared drive) folder structure in line with "OFSted" requirements...

 

Has anyone come across this before?

 

Sureley this is a case of "chinese whispers" and can't be fact?

We had OFSTED in 2 weeks ago. Never saw us, never mentioned us, gave us a good Safeguarding rating without any questions on software etc. We gave them wifi, that was it. Not even a printer.

 

So I'd say Chinese whispers....

Could this be to do with the GDPR that 'any information relating to an identified or identifiable individual' isn't kept longer than necessary? (Article 5(1)(e))

kept in a form which permits identification of data subjects for no longer than is necessary for the purposes for which the personal data are processed

This would apply to lots of class\year group spreadsheets teachers create, and keep forever.

I'm considering changing folders to a cohort\year folder structure, so we could easily archive\remove old data in line with data retention policies.

Potentially, but as GDPR isn't live yet then I can't see how you can be assessed on something that is still subject to change. Only in the last few days there has been another Government adendum to how school's process data.

Principle 5 of the Data Protection Act 1998 states:

 

Personal data processed for any purpose or purposes shall not be kept for longer than is necessary for that purpose or those purposes.

 

So it's been a thing for 20 years...

Did the person asking this clarify what Ofsted's requirements are? There could be something around data retention and/or access (can everyone see everything?), but Ofsted don't care what your folders are called.
