MrWrighty Posted August 24, 2017 Posted August 24, 2017 (edited) As users of Outlook, emails addresses are cached in an autocomplete history file on the local users PC. This can be a source of problems particularly picking the wrong recipient from your history and sending sensitive data to the wrong person. Also, if an individual wants their history deleted, an obligation of GDPR compliance, how do we know that the users have deleted said email address from their local history. Does this also mean deleting email history of correspondence with this individual. It may be necessary to disable Autocomplete for your organisation to stop email addresses being cached which will annoy a lot of users not just in schools. Edited August 24, 2017 by MrWrighty
nadeem Posted August 24, 2017 Posted August 24, 2017 You may find this little utility useful NK2Edit: Edit AutoComplete files (.NK2) of Microsoft Outlook
MrWrighty Posted August 24, 2017 Author Posted August 24, 2017 Hi @nadeem, I have used the product many a time, but it doesn't really answer my question about the existence of such files in the first place and the need to cleanse them in light of GDPR. Nobody in their right mind would advocate cleaning hundreds of NK2 files across and organisation just to remove a single email address. Don't forget each login on a machine will have an NK2 file.
