Staff Codes missing

Have a problem with staff codes not passing to Parent Pay. Seems the school is inconsistent in the issuing of staff codes, which means that we have teachers with staff ID codes that appear on the timetable but when I list staff using the staff search screen I have teaching staff without ID Codes. HR say they never issue codes, but we have non teaching staff who never appear on the timetable who have been issued codes. I'm happy to sit with them to correct things but can someone point me in the right direction please? Would be much appreciated.

What are you trying to achieve and what is your actual question?

 

We do use staff codes for all staff, and they (by default) get uploaded by MIS:Sync.

 

We've just switched cashless system to NRS and now use the misid for ParentPay instead - I had to send them a list of staff codes, MIS ID, Forename and Surname and they manually switched over the existing accounts.

Is this that old problem where staff are added to the system as users but HR isn't using the same user and the timetabler users something else?

After a user is added to personnel, this use should be selected when granting permissions. The same user should be added to the Manage Classroom Staff area, this is where the initials should be generated.

It is possible to add them in one place, but not link them to the others, so effectively you will have duplicates created in each area. I think you can see this if you search staff / users, and change the category to Any.

Depedning on your MIS as well, CMIS has the added extar spice of StaffIDs and LectureIDs, these don't have to be the same and often aren't. Some systems use one and others use the other causing lots of fun and games, ParentPay to Cunninghams was a fun one for us.

Thanks for the replies guys. sorry to be slow getting back to you, and yes Vikpaw, you have hit the nail on the head (and thanks for getting to the essence of my rather vague question!). The problem has now become more eiviident as the Headteacher is now frusrated that the school's convention for staff ID composition have not been followed and now wants to change them all, which has a knock on-effect on ParentPay. ParentPay are quite happy to edit their end but I am now wondering what else (Show my Homework, Evolve, Sam Leaning, Groupcall etc) which are administered by various staff.

 

Actually, I am taking this as an opportunity to resolve a bunch of issues and get more hygienic routines in place for the school and am working with the (new and untrained) SIMS manager on some algorithms to deal with ID management. Want to cover end to end, creation to retirement of IDs and deal with any Data Protection compliance at the same time.

I don’t use all those services, but I’ve only come across ParentPay using staffcode as identifier - most others correctly use person_id.

 

I’ve actually changed our ParentPay to use person_id - if you’ve got Salamander ask them to copy our script which generates a valid import file the same as Mis:Sync would - you then log in and import it via website instead of Mis:Sync.

 

(Once you’ve sent a spreadsheet to them to switch existing ids)
