kennysarmy Posted January 30, 2017 Posted January 30, 2017 We've proved beyond reasonable doubt that the routine: Focus -> Lesson Monitor -> Enter a Code over a date range on our DATA for our Year 12 and 13's when chosen with the option "Preserve Data" does not always "preserve data".... So correct / and \ marks which should be preserved when using that routine are over-written seemingly in random AM and RM registrations for seemingly random tutor groups. However there has to be a pattern to it! If I run a "History of Changes" report it shows who entered the original Lesson Monitor mark - does anyone know if I can run a report which will show who took registers for particular sessions or lessons to see if that helps identify the commonality between the marks that get over-written. Example of marks from Wed 14/12/2016 being over-written....

Cache Posted January 30, 2017 Posted January 30, 2017 Yes, there's a thread on MyAccount that shows it:https://myaccount.capita-cs.co.uk/forums/thread/kk-lastattendance/7d1ad190-a5cd-e411-815d-005056150016 Basically you build a report, use Attendance marks or Lesson marks subcategory and within there is a field called Recorded By which reports the member of staff who input the mark - you just then need to adjust the filter accordingly to get to the data you need.

Those we put in by doing the routine : Focus -> Lesson Monitor -> Enter a Code over a date range What we were finding though is that it appeared to be overwriting random \ and / marks with N's when that procedure should only overwrite "missing marks" (-'s) I think I've got to the bottom of it though. Occasionally it appears the RG2 mark is not completed, just the PM reg. So when the routine Focus -> Lesson Monitor -> Enter a Code over a date range is chosen, even with preserve marks set it was acting on the RG2 column and replacing any missing marks with "N''s - these were then copied over the "PM" column. I'm still trying to work out why our system is setup with a RG2 and PM - are any other schools setup like this? Cheers

We've got a RegAM and RegPM which are timetabled lessons which feed the AM and PM, but if they are missed for some reason "Earliest Marks" is taking the next lesson that is marked to populate those columns. Can I ask why you're entering "N" marks using that routine? Normally it's used to enter things like study leave or school closures (Snow etc).

And unfortunately even with the preserve marks button in the locked position it over-wrote 100's of actual marks in the AM/PM columns because even though they were filled in - somehow the corresponding RG1 and RG2 field were empty - they then got overwritten with the "N" codes - which then auto-copied over the real marks in the AM/PM columns with the "N". This is not something I would have thought should be allowed to happen....

Found it and the answer is "no". - - - Updated - - - We do have "Copy Lesson Marks to Sessions" ticked though - what does that mean exactly?
bobsmith Posted January 31, 2017 Posted January 31, 2017 it means that your teacher completes the lesson register and then SIMS will copy that mark to fill in the AM or PM register as appropriate. Which lesson it copies from is shown in Tools - Setups - Lesson monitor Setup, the period labelled "A" writes to the AM and "P" to the PM. This would do the trick to cause the issue you had. 1

I understand now what happened. And I'll document here in case it catches anyone else out. Teachers were all correctly filling in the registers using the RG1 and RG2 sessions which then copied over to the AM and PM slots. Unfortunately one admin person who was responsible for doing 6th form registers was ONLY filling in the AM and PM slots - she would block do this for all year 12 and 13 if they had say assembly instead of registration, she'd also do the registers if a teacher was off for example. This same admin person then incorrectly used the routine : Focus -> Lesson Monitor -> Enter a Code over a date range Even though the preserve marks option was set - the routine overwrote all lessons and registers where there was a missing mark ( "-" ) - which of course was in all the RG1 and RG2 columns adjacent to the AM \ PM she had filled in. Once the mark had been copied over the RG1/RG2 columns it then AUTOMATICALLY copied itself over the marks she had put in the AM/PM columns - thus losing a lot of data!!! So the preserve marks option does not take in to account the "Copy Lesson Marks to Sessions" feature.

If you're marking students in bulk because they are in an assembly it should be done through "edit marks" which allows you to precisely control where the marks end up.
