iceman Posted January 15, 2016 Posted January 15, 2016 In order to carry out further analysis I need to find out the overall percentage attendance for each year group between certain date ranges (they will be half terms, either with the parameters entered at run time or maybe I'll just make six different reports) (I also need similar data for overall percentage attendance for each gender and overall percentage attendance for Pupil premium/non pupil premium but if I can see how to do the first one I might be able to sort out the other two) eg as a table the first report might look like

Date From Date To Year Group Pcnt Attend

1/9/2015 15/12/2015 7 98

1/9/2015 15/12/2015 8 99

1/9/2015 15/12/2015 9 88

1/9/2015 15/12/2015 10 89

This is going to be used elsewhere so I'd like the output as an xml file. I realise that under Reports | Lesson Monitor | Group Reports | etc I can see roughly this sort of data but that route requires manual input and I need to get this data out of sims overnight to import into another system so I can't easily use those reports. Anyway the layout of these is not suitable (eg some are broken down by reg group as well) and because I cannot see the design of those reports I cannot copy and adapt them to my needs. Can anyone help?
DSapseid Posted January 18, 2016 Posted January 18, 2016 Ive created a report in SIMS that outputs the following into excel. As well as what you can see in the screen shot it also does, LAC, PP, Non PP, Ethnicity, Persistent Absence, Persistent Absent inc & exc PP. Its give to SLT every friday and they like how they can see the difference between groups. I found trying to get PP (and other groups) attendance out of sims to be a bit of pain so i just did my own. 1
iceman Posted January 18, 2016 Author Posted January 18, 2016 That looks very similar to what I am trying to achieve. Is there any way you could let me have a look at the SIMS report design to see how you went about it?
DSapseid Posted January 19, 2016 Posted January 19, 2016 PM me your email and i will email you over the SIMS report for you to import 2
tracyousedale Posted February 9, 2016 Posted February 9, 2016 Please could you also email me the report to import?
ksaliz Posted February 11, 2016 Posted February 11, 2016 Hi would you mind emailing me the report too please?
vikpaw Posted February 12, 2016 Posted February 12, 2016 @DSapseid - could you upload the report def here, so anyone who wants to can give it a go?

spanky Posted February 17, 2016 Posted February 17, 2016 I don't suppose you have anything for Primary schools?

SteveMeakings Posted October 14, 2016 Posted October 14, 2016 This is a fantastic report. There are just some adjustments I would like to make (adding in Year 12/Year13). How do I edit the excel template? Do I need to locate it on the server? Unlike an rtf it doesn't give me an option to edit the template. Any help greatly appreciated.
3enjammin Posted January 24, 2017 Posted January 24, 2017 Over 12 months on from original post and I too find myself downloading the above report for the primary schools - It is exactly what I have been asked for - (thanks for putting it up there!) The editing of the excel template has me asking more questions than I came here with too. Can anyone throw a couple of pointers please? - stevemeakings did you get any further than this? Sorry to jump on an old thread but I can find precious little on this. Cheers
ajp233 Posted January 24, 2017 Posted January 24, 2017 If you make a copy of the RptDef file and then change the file extension to .zip you can then open up the zip file and extract the Excel template out and make any changes you wish to it. Once you have changed the Excel template you would then have to 'reattach' to the SIMS report. In SIMS go to the Define Presentations screen and select Standard Portrait to break the link with the embedded Excel template. Then click on Report template and select the new amended Excel template. 1
3enjammin Posted January 24, 2017 Posted January 24, 2017 that is very cool - thanks for that! (every days' a school day....)

vikpaw Posted July 6, 2017 Posted July 6, 2017 this report is amazing just what i was looking for i have downloaded the primary version but its got year 7 to 11 at the bottom any ideas how i change this to reflect reception to year 6 Yep, I think I've found the issue. Give me a bit and then I'll upload a new spreadsheet which you'll have to link as per the instructions above.
vikpaw Posted July 6, 2017 Posted July 6, 2017 @HBPS - I followed the instructions to extract the excel template as above. I found in the 'analysis' tab that the row labels were hard-coded to the senior school ones. I've amended these and inserted two more rows. The formulae have been copied down to follow the pattern and refer to the 'workings' tab. The averages have been amended vertically to include the new rows. The rest is untouched. This should now pull in the extra data and be labelled correctly. Usual caveats apply: I have not tested this, and have not checked any of the formulae. I only updated and followed the existing pattern of data. I don't have a running version of SIMS else I'd compile a new def file for you. You will need to follow the method below to update the template. I would suggest cloning the report you imported - doing a save as, and making another version. Sometimes this can break the original but not an issue as you can alway re-import. In your new modified version, edit and do as below to incorporate the Excel template I've attached. It's zipped and just needs unzipping and is ready to link to the report. Once you have changed the Excel template you would then have to 'reattach' to the SIMS report. In SIMS go to the Define Presentations screen and select Standard Portrait to break the link with the embedded Excel template. Then click on Report template and select the new amended Excel template. I hope that does what you need. Other things to note: The cell that works out the number of students is using a range labelled 'Under 85' however in the student data tab this is the column called 'under 90%'. Also, in the 'workings' tab some of the row labels say 'Year 1' when it should be 'Year 2'. I've not amended any of these in order to leave the file as close to the original as possible and avoid affecting any other references. They are all just labels and shouldn't affect anything, so long as you know what data is pulling through into the report and that the final labels are what you expect. I have been asked to produce data for the above but am having difficulty altering the Report, did anyone have any luck with this. Many thanks. How far did you get? Have you managed to rename to a .zip file and open as a folder so see the Excel file? I edited the excel doc, so you could download that file and just unzip and you'll have that. You can then amend that, but it was hard coded for a different school.
falsaadi Posted October 23, 2018 Posted October 23, 2018 Hi, this is a great report that we also need to use at our school. I tried importing that but i get an error message saying: "String was not recognized as a valid Date Time". This might be a silly question but does any one know what could be the solution
