OVS-ES "organization-wide" clarification

Hi all,

 

Recently stepped into a educational institution and I am trying to wrap my head around OVS-ES and the FTE count model, and exactly what we need to purchase to license the Desktop Eduction cal bundle for all staff and students.

 

Facts:

• Staff FTE count of 140
  
• Staff PC count: 198
  
• Student FTE count: 700
  
• Student PC count: 700
  

 

If we purchase the Desktop Educational Core Cal Suite (2UJ-00011) based on Staff FTE count. Does that also license our Student PCs? If so, because 2UJ-00011 includes Office, does that mean we can install Office on all Staff and Student PCs?

In answer to your questions - yes.

 

Licensed on the number of staff FTE.

our reseller has defined qualifying staff as those that work over 5 hours a week and access a computer. Thus you can exclude domestic and caretaking staff as this probably does not form part of their core role.

One thing to note - Microsoft does vary the scheme slightly between countries. I believe the USA has a different formula to the UK, for example. So, it is probably best checking with a local reseller for any formulas you need to apply. In the UK it is any computer using staff that do over 200 hours per year that are included in the count.

I would also advise checking if you need the full bundle. We licence products separately and it works out cheaper.

We have the Desktop Education Pack Enterprise CAL at circa £40 per FTE and we have 100 FTE. That means we get rights to install Office and Windows on any of our institution owned OEM licenced computers for the princely sum of £4k per annum, and as we have 700 odd devices, we get full coverage for around £5 per device plus all the CALS we need. The core cal would be even cheaper but we wanted the Lync enterprise licences. And best of all I don't have to licence count every year

I've just been through this calculation for our annual renewal. The difference for us was £2/fte so I went for the desktop package. It includes Endpoint AV and the CALsv for various things including SCCM (client CAL not the actual product). If you can envisage using either of those or some of the other included CALs it is worth considering. The scheme is excellent value, but it pays to get it right first time. Last year I got caught out because I wanted to add something towards the end of the year; you can only have one agreement at a time with Microsoft and the anniversary is fixed, so whenever you add products during the year there licence expires at the same time. I've been waiting for two months to get my hands on some licences as it wasn't worth the annual subscription price for 8 week's use.

 

Definitely recommend it though - my head teacher said "that's a lot of money, shouldn't it be free for schools?", which given how much MS make in a year is not entirely unreasonable, but when I suggested how much businesses pay, she agreed that it is almost free anyway! Don't forget that you are also entitled to Office (Pro and 365) for all staff and pupils to use on 5 of their own devices at home too. 80% of our staff have taken up that offer!

Didn't the deal used to be, that if you wanted something to add mid agreement, you just use it and licence it at the next renewal? or have I just pulled that out of a tired mind!!

It only applies to increases in numbers of staff. Ie if your FTE increases, you don't tell them until the next renewal.

 

New products that you haven't licensed would need licensing still.

If you want to add something to an agreement you have to pay a full year's subscription. Hence when wanted to add Windows OS to our agreement we just took out a new one instead.

I shall be speaking to my reseller about this. I was specifically told that I couldn't take out an additional agreement and that anything I added to the existing agreement would expire on the original anniversary. Too late now
