SIMS InTouch email parent and teacher

Hi,

 

If a parent is an employee of the school, you can't have two primary email addresses set.

 

So how can I make this scenario work:

 

Little Freddie gets a letter sent home via InTouch to the parental primary email address who happens to be a member of staff. This is ok...

 

But little Johnny get a letter sent home but the letter also needs to go to staff (teachers and head of year) to make them aware of the situation, but one of his teachers won't receive it to her school email address as it cannot be set to primary.

 

How can I get SIMS to except multiple primaries or InTouch to email a teacher to there school address if primary is there home address.

I'm struggling to understand what you are trying to achieve - sorry.

The child has a primary contact not the parent.

Being a member of staff isn't related to the ability of InTouch to send an email?

We have an issue where we have staff that are parents of pupils. So as you would expect their personal email address is set to receive InTouch communication.

 

This is an issue when it comes to receiving communications regarding their own children and other pupils that they teach. You would want to keep emails about their children going to their personal email and emails regarding associated pupils to their work/school email address. But the issue is you cannot have two primary email addresses so how can we keep things separate?

 

I feel this is a programming oversight as I would expect associated teachers, heads of year, headmaster etc.. to receive communication based on location (school or work) rather than primary. Or allow multiple primary email addresses.

I've spoken to the product manager. A member of staff that is also a parent has an email address for both roles so this should not be an issue.

Ok so how do you explain when you unset the primary email address for a staff member which is there personal email because they are also a parent, that when you I touch that member of staff the email check box is not available so no email message can be sent.

 

Any when you try to send it says the following recipients do not have any selected communication method.

So you basically you have

 

John Smith, who is a parent and a teacher

 

Work email: [email protected]

Home email: [email protected]

 

You want the parent related stuff to go to home and the work\teacher stuff to go to his work email address.

 

InTouch only uses the "Is Primary" contacts - which you can only set on EITHER work or home BUT NOT BOTH.

 

 

So I would guess set the primary on the home and then the question is how do you set staff messages to use the work email, regardless of the Is Primary in InTouch? Besides switching to @Schoolcomms

Schoolcomms looks at the email address/mobile number in SIMS Personnel to send teacher stuff, and the email address/mobile number for parent attached to the student record for parent stuff.

There can be two email addresses one as a staff member and one as the parent contact so if the message is a message to staff it will pick up the staff email, if to a parent (e.g. newsletter, SEN message, etc.) it would use the parent email.

I'll get it to you tomorrow Phil, but in the mean time while yes you can have a contact record which is separate to an employee record but you are having to duplicate information, ins essence having to keep two records up to date. Which isn't ideal..
